Our client, one of the UK's leading drama schools, is seeking to recruit a temporary Sales and Events Coordinator to work 30 hours per week. This role is based onsite in Southeast London, working Monday to Friday from 10 am to 5 pm each day. They are looking for someone to start as soon as possible, with the position running until the end of July in the first instance. Key Responsibilities: Enquiries & Bookings: Serve as the first point of contact for the Sales & Events team, handling incoming calls and emails professionally. Provide client quotes and manage bookings for various spaces, including studios, theatres, meeting rooms, and practice rooms. Conduct venue tours, respond to queries, and promote additional facilities and in-house services. Event Planning & Delivery: Identify and coordinate operational requirements for hires and events, including furniture, technical services, equipment, catering, and staffing. Maintain accurate booking information and requirements on ASIMUT and finance systems. Prepare event briefing forms and ensure Risk Assessment forms are completed. Provide on-the-ground event support as needed. Administration: Keep the Sales & Events finance tracker updated. Collaborate with the Finance team to raise invoices, manage deposits, and process payments. Handle financial reconciliation, reporting, and debt collection processes. Issue venue hire contracts and invoices and conduct regular system updates and reporting. Requirements: To be successful in this role, you should have experience in a similar position, ideally within higher education, the arts, or a similar type of organisation. You must be accustomed to working to deadlines and possess excellent written and verbal communication skills. Strong IT skills, including proficiency in MS Office, are essential for this position. Additionally, you should be capable of managing multiple tasks simultaneously, keeping track of progress, and proactively ensuring everything stays on schedule.
