This role is integral to ensuring our administrative support systems are efficient and effective, meeting both our internal standards and external regulatory requirements. Key Responsibilities: Administrative Support: Maintain all files in an orderly and up-to-date manner, adhering to internal standards and external regulatory requirements. Provide regular monitoring and measurement statistics as required. Prepare, print, and distribute standard forms, documents, letters, etc., as needed. Undertake ad hoc office duties such as typing, faxing, and photocopying when necessary. Order stationery, supplies, and equipment, gaining approval for expenditure in line with organizational procedures. Office Management: Manage general office tasks, including premises maintenance and housekeeping. Liaise with approved contractors regarding Fire Alarm, health, and safety issues. Maintain, service, and replace equipment including photocopiers, fax machines, franking machines, and phones. Arrange travel and accommodation as required. Raise purchase orders and maintain NCP. Reception: Provide an efficient, courteous, and responsive reception and telephone service to internal and external customers. Greet and assist visitors including staff, service users, and contractors. Direct customers to the appropriate point of contact. Ensure the reception area is tidy, presentable, and champions the organization's brand. Financial Authority: Handle Petty Cash and check invoices. Person Specification: Ability to work as part of a team, demonstrating support to other team members and other teams. Customer-focused approach to both internal and external customers. Proficiency in Microsoft Office applications to an intermediate standard. Acquired Experience & Qualifications: Relevant typing qualifications are desirable. Other Requirements: Ability to work under pressure and meet deadlines. Good written and oral communication skills.
