As a result of new business and further expansion, we are looking to employ a full-time Personal Assistant to join our successful team. There is scope for great career progression at New Era Fuels to move into even more senior roles as your knowledge of the company and their product offering widens. Role Overview The Personal Assistant will provide comprehensive administrative support to the CEO to ensure the smooth operation of daily activities. The ideal candidate will be proactive, highly organized, and capable of managing multiple tasks with a high level of professionalism and confidentiality. Key Responsibilities Manage and coordinate the CEO's schedule, including meetings, appointments, and travel arrangements. Handle incoming calls, emails, and other correspondence, responding on behalf of the CEO as required. Prepare and edit documents, reports, and presentations with attention to detail. Conduct research and compile information for meetings, projects, and reports. Maintain confidential files and records, ensuring data security and compliance with company policies. Assist with personal errands and tasks as needed. Coordinate and manage special projects, events, and initiatives. Liaise with internal and external stakeholders to facilitate communication and collaboration. Person Specification Proven experience as a Personal Assistant, Executive Assistant, or similar role. Excellent organizational and time-management skills. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Ability to work independently and handle multiple priorities. Discretion and confidentiality are essential. What your day might look like: Managing Gary's calendars Organising travel Preparing correspondence, communications, and presentations Assisting in maintaining staffs time management Coordinating and tracking progress on various projects Conducting research to assist in decision-making Serving as a point of contact between Gary and stakeholders Assisting in the development and execution of business strategies Attending meetings in Gary's absence when required General office management Coordinating personal appointments, events and other commitments About you: Proven experience as a Personal Assistant would be great, but not essential, if you are super organised, a quick learner, driven and determined to be successful this could be for you Experience working with an entrepreneur and or high-net-worth family Strong organisational and time management skills Excellent verbal and written communication skills Ability to handle multiple tasks simultaneously Proficiency in productivity software (e.g., Microsoft Office, Google Workspace) Tech-savvy with a good understanding of modern business tools and platforms Flexibility to adapt to the Founder's unconventional work style Knowledge of the tech industry and experience working with high-growth companies is a plus Familiarity with ADHD and strategies for limiting distractions, managing productivity and focus is highly desirable A can-do attitude and willingness to take on new challenges and to grow personally.
