Job Title: Administrator Location: Glasgow Type: Full-time Responsibilities: Provide effective support to surveyors by carrying out various administrative duties efficiently and with minimal supervision. Maintain general data, answer telephone calls, and handle inquiries. Type up reports, letters, and fees. Manage office banking and general administration to ensure smooth operations. Ensure workflow is managed effectively in line with defined client service level agreements and policy guidelines. Provide direct training to new staff members. Key Role Deliverables: Carry out support activities effectively and efficiently. Keep data up to date and accurate. Produce timely and accurate reports and letters. Foster effective customer and internal relationships. Maintain knowledge of the firm's products, services, and processes to deliver excellent customer service. Assist Senior Administrator/PA as required. Duties (not exhaustive): Answer incoming telephone calls. Contact clients/customers on behalf of surveyors. Set up boardrooms for meetings. Cover office reception. Handle filing and file retrieval. Maintain compnay records. Type reports, letters, emails, agendas, minutes, fees, and particulars. Produce documents for report appendices. Scan, copy, bind, and issue completed reports. Send out property particulars to clients/customers. Manage stationary orders. Handle diary management. Train new staff members. Manage office petty cash/card payments. Handle banking. Prepare office reports (month-end). Address aged debt. Experience Required: Knowledge of working in an office environment. Proficiency in PC skills (Word, Excel, Outlook, PowerPoint). Awareness of accuracy and meeting deadlines. Proven ability to work as part of a team. Strong organisational skills. Ability to perform under pressure. Initiative to think through problems and find solutions. Fast learner with multitasking abilities.
