Duties to include but not limited to: Manage all tenant relationships & external facility managers effectively Attend site visits and ensure the smooth running of portfolio Ensure annual valuations / insurances / risk assessments & Health & Safety procedures are in place Develop and implement the annual planned and preventative maintenance to ensure the portfolios buildings are maintained to the highest standards Put in place suitable procedures to ensure any required reactive maintenance is minimised and dealt with quickly, safely, and effectively Identify where the organisation could work more efficiently and effectively using initiative and creativity to find solutions to overcome problems and forecast any problems Ensure positive and proactive relationships are maintained with relevant and effective contractor teams, source, identify & arrange tenders for new suppliers where required Review contracts, finances and budgets as required alongside the MD ensuring goals are met Source and manage contractors and suppliers, specifying work appropriately and ensuring it is carried out to the required standard meeting deadlines Communicate effectively with all internal teams to ensure a consistent, effective and efficient delivery of planned and reactive tasks This position would suit someone who is seeking a position where they enjoy having ownership and taking responsibility for a large portfolio of properties. Property Inspector / Inventory Clerk We will consider applications from people wanting to work either 5, or 4 full days a week, working between 8.30am - 5.30pm. Naturally, for those working 4 days a week the salary, bonuses and holiday entitlement would be adjusted accordingly on a pro-rata basis. The successful candidate who fulfills this varied role will spend much of each working day visiting properties to undertake various tasks which include the production of condition inspections to ensure they remain in good condition, produce reports to evidence and dispatch to the relevant landlord. Property Inspector / Inventory Clerk Via bespoke software held on an iPad, compile detailed reports which record the overall condition of a property prior to any tenants moving in. Re-visiting the properties midway through an active tenancy to check on the condition, produce a brief report and then dispatch this to the relevant landlord concerned. Discussing with the tenants in occupation any maintenance-based issues that may be evident. Where relevant, liaising with our Property Managers to ensure maintenance based issues are resolved. Property Inspector / Inventory Clerk If the property is not being maintained to an acceptable condition you will discuss this with the tenants whilst at the property and put a simple plan in place with them to improve the situation. Inspecting the property prior to the end of a tenancy to produce a 'check out' report which will again record the general condition of the property at that time just prior to the tenants moving out. At the end of a tenancy mediate between landlord and tenants regarding any maintenance considered to be beyond fair wear and tear and attempt to agree on a suitable amount of money that the tenants are to contribute to putting things right. Once agreed relevant funds would be deducted from the initial deposit that the tenants lodged with the company prior to moving in. Where issues are evident at the end of a tenancy, but the landlord and tenants fail to agree on a mutually acceptable compromise, the Property Inspection Clerk prepares all relevant paperwork and sends this to an independent adjudicator who will decide what if anything should be deducted from the tenants' original deposit. Property Inspector / Inventory Clerk Previous experience in a similar role within Residential Lettings would be advantageous but not essential, as full training provided to those retaining the other essential skills described below. A strong attention to detail when inspecting a property and compiling a report. Highly organised and able to manage a busy diary. The ability to prioritise urgent tasks and constantly work to pre-defined deadlines. Excellent communication skills - face to face, orally and electronically. Confident and professional. IT proficient - familiar with MS Office, other general packages, tablets, and other mobile devices. Own car and clean driving license. Property Inspector / Inventory Clerk Remuneration Full-time salary £25,000 to £30,000, depending on relevant experience.
