Responsibilities Executive Assistance : Furnish the Chief Executive with adept administrative support, encompassing the preparation of briefings, presentations, reports, and correspondence. This entails the judicious procurement of information and the initiation of general correspondence on behalf of the Chief Executive. Diary and Inbox Management: Proactively manage the Chief Executive's diary and inbox, exercising discernment to prioritise and highlight crucial requests or communications, and adjusting schedules to accommodate key priorities, relationships, and preparation requirements. Filing and Organisation: Oversee an efficient filing and bring-forwards system, ensuring its upkeep and enhancement in line with the institution's digital imperatives. Deadline Awareness: Keep the Chief Executive informed of impending deadlines for internal and external commitments, including reports, presentations, conferences, and projects. Travel and Event Coordination: Arrange travel, accommodation, and appointments, such as meal reservations, coordinating with other schedules as necessary and compiling comprehensive itineraries. Additionally, organise events like pre-event dinners or consultancies in collaboration with esteemed stakeholders. Research and Project Management: Undertake or oversee specific research and projects on behalf of the Chief Executive, potentially involving the preparation of presentations or reports. Budget Oversight: Engage in budget planning, monitoring, and management for the Chief Executive and Senior Management Team, - identifying variances and preparing necessary approvals. Meeting Facilitation: Prepare, collate, and distribute meeting documentation, including agendas, minutes, and papers, while arranging meeting logistics and taking and disseminating minutes as required. Team Management: Lead, inspire, and nurture the Assistant PA to the Senior Executive Team, fostering their professional development. Administration Oversight: Ensure the efficient operation of administrative tasks associated with the Senior Management Team. Communication Handling : Manage telephone calls on behalf of the Chief Executive, ensuring timely message relay and effective resolution of queries. Data Protection Compliance: Exercise caution regarding the use and storage of personal data, considering potential data protection implications and referring to the institution's Data Protection Policy or seeking advice as necessary. Chief Operating Officer, £75,000, Central London and Hybrid We are partnering exclusively with an award-winning dance company to help them find a new Chief Operating Officer. This is a newly created role to sit in the senior leadership team and take the reins on finance and operations and guide the Chief Exec with their future ambitions. You will be a qualified accountant, ideally with experience leading on operations in a previous position. Support the General Manager in the development a strategy for the profitable and efficient management of the site and facilities for the benefit of the company and wider sector.
