We are seeking a, immediate and efficient Personal Assistant/Administrator to provide comprehensive administrative and business support to the Business Director and Clerk to the Governors of a Chertsey-based high school and sixth form centre. The successful candidate will play a crucial role in ensuring the smooth operation of the school, managing administrative matters, and facilitating effective communication across the school community. This is a 6 month fixed-term contract position, working from Monday-Friday, 40 hours per week. Main Duties - a mixture of executive support and administrative duties: Proofreading documents and letters. Attending meetings, taking notes, and reporting back. Managing the Business Director's calendar and appointments. Leading the clerking admin function for Governors. Minute-taking during Board and Governor meetings. Ensuring Governor compliance and training. Providing personal admin support to the Business Director. Booking meeting rooms and managing administrative systems. Assisting with Health and Safety meetings and GDPR administration. Ensuring process notes are complete during the Operations Manager's absence. Key Requirements: Excellent written and verbal communication skills. Experience working in a school would be ideal but is not essential. Charity Events Administrator Our client is a local Woking Charity who run fundraising events globally as well as their flagship event in London. They are looking for an administrator to join them on an initial 5 month contract (to the end of October) to support them in the build up to their key events this year. This is an office-based role (no hybrid or working from home) working 37.5 hours a week. Start times will be between the hours of 8 am and 10 am and finish times will be from 4.30pm - 6.30 pm according to arrival time. The core hours of the company are 10am - 4.30 pm. Participation on event days will be required and time in lieu will be given. Key Duties: You'll be involved in the recruitment, logistics, and coordination of Volunteers for the events. Maintain accurate Volunteer records using our CRM Database. Work closely with our Events Team to coordinate Volunteer schedules, ensuring smooth operations and exceptional experiences for both Volunteers and participants. To resolve day to day queries about the running of the online fundraising pages as they arise as well as more general fundraising queries. To develop a relationship and provide advice, motivation and support to participants taking part in our unique challenges through telephone calls and emails. To thank our supporters by telephone, email and letter. To help manage the processes and administration for fundraising items such as collection tubs, buckets and banners. To work with internal teams such as Events, Support, Finance, Social Media and PR. To help write social media posts and blogs for the website. To assist with the development of fundraising activities such as working with fundraising groups, community fundraising, promoting the lottery, monthly donors, potential leavers of legacies. The successful candidate will be a key point of contact for the School community, including the Senior Leadership Team and Board of Governors. Day to Day of the role: Provide executive support to the Business Director, including proofreading documents, managing calendars, and coordinating schedules. Handle clerking responsibilities, such as preparing information for Governors, recording minutes, and ensuring compliance with governance legislation. Offer administrative support for various departments, including managing emails, arranging travel, and booking accommodations. Attend meetings, record minutes, and follow up with actionable items. Liaise with internal and external suppliers, greet visitors, and manage the induction of new Governors. Maintain and develop administrative systems within the Bursary, including filing legal and other relevant documentation. Required Skills & Qualifications: A good level of school qualifications.
