To work as a member of the Aspire Community Benefit Society on a day to day basis to provide a high quality, confidential, administration function. To undertake general administrative duties including data input and the maintenance of computerised and manual records and systems, writing letters and filing correspondence, enquiries, photocopying, franking and distribution of material. To provide a courteous and responsive reception service for customers, family carers and members of the public who contact the office by telephone or in person. To receive and direct incoming and outgoing mail, prepare responses as required and pursue enquiries and correspondence as necessary. To support the team with the organisation, administration and minute taking at team, inter-agency and other meetings. To contribute as a member of the team to provide a high quality and effective service, using judgement to resolve routine and non-routine issues. To ensure that priorities are met and deadlines are achieved ensuring the most effective use of time. Taking and prioritising telephone calls and messages. Maintaining financial records, including the receipting of cash and petty cash, and coordinating and maintaining records. To support and facilitate training events and meetings. To maintain and interrogate accurate in-house databases and electronic records in accordance with agreed procedures. To provide accurate statistical information for the senior management team.To liaise with other colleagues, agencies and organisations as appropriate. To participate in training and development activities as necessary to ensure up to date knowledge, skills and continuous development. To ensure and maintain confidentiality at all times To undertake other duties appropriate to the post as required by the Office Manager. To comply with the requirements of all Aspires policies, procedures and staff instructions, including responsibilities under the Health and Safety Policy and Procedures. ESSENTIAL REQUIREMENTS SKILLS Ability to work as an effective member of a team and with managers, colleagues, customers, family carers other agencies and members of the public Ability to pass information accurately and concisely between customers, family carers, colleagues and other agencies. Ability to produce correspondence and reports using Microsoft packages. Competent in the use of computer databases to store, maintain and retrieve information. Ability to develop and maintain computerised and manual filing system and records. Ability to prioritise and organise own workload taking account of deadlines, and, on occasion, conflicting demands Ability to work on own initiative. Ability to deal with sensitive and confidential information and ensure this is accessible and secure KNOWLEDGE An understanding of the need for confidentiality. Of the importance of meeting timescales/deadlines. Of Microsoft packages and computerised systems EXPERIENCE Of dealing with constant and often conflicting demands Of working as a member of a team. Of using a variety of software e.g Word, Excel, Outlook, Powerpoint, to produce reports and correspondence. Ability to travel between sites DESIRABLE REQUIREMENTS SKILLS A QCF/NVQ Level 2 in Administration. KNOWLEDGE Of understanding and providing for the needs of the customers within the service Of a range of office systems, protocols and processes EXPERIENCE Routine financial transactions including cash handling. Dealing with a variety of electronic and manual record systems. BEHAVIOURAL AND OTHER JOB RELATED CHARACTERISTICS Knowledge of the problems of disadvantaged groups.
