20 hours a week - ideally across 4-5 days a week Working for our prestigious client you can be based at home but be able to easily commute to our clients Harlow base each month or whenever required and have your own transport. In this role you will offer administrative support to a team based out in the field at local hospitals. You will be supporting a Site Manager, Team Leader and Engineers. You will consolidate reports and ensure the admin runs smoothly for the services being delivered to customers. Our client is seeking someone with excellent communications skills and the ability to build strong stakeholder relationships. Your role: Take calls/emails from customers Contact suppliers and users to coordinate the repair/service processes for medical equipment on site Arrange logistics, courier and documentation related to off site intervention, which may involve packing and minor lifting manage quotations for both renewals and new external contracts by working closely with Procurement team Create purchase orders for parts, goods and services as needed Purge site data, identify problems and co-ordinate resolution Exceed contract KPI's to ensure customer satisfaction Maintain spare part stock wherever necessary Maintain service documentation in line with business requirements Liaise with 3rd party suppliers for spare part and contract quotations Attend customer meetings when required, Write, record, and distribute minutes for department meetings and other meetings as required The person: Able to manage substantial workloads, prioritising as appropriate Able to multi-task and work independently as well as in a team Excellent organisational and communication skills Good analytical skills Good knowledge of MS Office suite, PowerPoint, Access, Publisher, Excel Excellent customer relationship skills Superior integrity and discretion, as role involves dealing with Executive level, highly sensitive information.
