Proactive Personnel are currently recruiting for a Inventory clerk based in Warrington town centre. Our client works in the residential property industry with developments across the UK.

About this role

The Inventory Clerks provide a seamless service to enable the Lettings team to swiftly let out apartments in our buildings whilst ensuring the smooth operation and implementation of the Check in / Check out process for tenants at our building. They handle all administration and inventories relating to start/end of tenancies whilst working positively and proactively with the team and take pride in ensuring a professional and friendly service to all incoming and outgoing tenants in all respects.

What you do

You strive to achieve excellence in day-to-day inventory processes for our apartments and reception services for their buildings and contribute to a positive customer experience for tenants and visitors, whilst building good working relationships with staff and residents and helping to ensure the smooth running of the building.

This role reports to the Property Manager and you are responsible for:

Inventory work

  • Liaising with incoming/outgoing tenants to arrange Check ins/Out inventories
  • Preparing and undertaking Check In inventories in readiness for a tenant's arrival
  • Completing Check Ins with new tenants ensuring all relevant paperwork is completed correctly
  • Undertaking pre-Check Out inspection one month prior to gain a better understanding of any issues, damage, maintenance required to enable timing of works promptly after check out
  • Undertaking Check Out inventories, completion of paperwork and promptly report damages to Property Manager and/or maintenance
  • Submitting end of tenancy charges and emailing correspondence with 3rd party companies at the end of tenancy
  • Working positively and proactively with the team to minimise complaints
  • Maintaining effective records and completing administrative tasks as required
  • Providing support to other sites with new builds and during busy periods
  • Providing regular updates to the Property Manager as required.

Reception

  • Assisting with reception cover when needed
  • Greeting visitors to the building and directing them as appropriate
  • Logging visitors and contractors into and out of the building, providing visitors passes as required
  • Ensuring the foyer is clean and well presented
  • Handling and storing incoming parcels and tracking accordingly
  • Handling incoming deliveries and notifying relevant members of the team
  • Liaising positively with security staff and updating them with any potential issues or concerns
  • Providing assistance to the property team to:

o book cleaners for apartment turnarounds

o attend to residents' queries

o log residents' utility readings (electric, water and council tax) and communicate with utility companies

o communicate access requirements to residents to enable completion of maintenance or repairs

You may be required to carry out other duties to assist the team.

You have:

  • Customers Service Skills Training, a First Aid Qualification and/or Fire Warden Training or willingness to be trained in such
  • Proficiency in Office software for emails and data entry and ability to pick-up in-house systems (Happyco, deposit schemes, Excel, Word), use of iPads
  • Proficiency in database software
  • An understanding of excellence in customer service
  • Knowledge of basic stock control and ordering
  • Knowledge of basic Health & Safety matters
  • Ability to listen and communicate well with colleagues, visitors and tenants, to provide information and advice
  • Good organisation skills to ensure all daily tasks are completed and records kept correctly
  • Ability to use your own initiative to identify and prioritise tasks (know what is urgent vs important)
  • Ability to work quickly and efficiently, whilst remaining focused under pressure.
  • Proven ability to handle challenging customers calmly and helpfully.

37.5 hours per week

Monday - Friday

09:00 - 17:30 - 1 hour break
