The ideal candidate will be driven, highly organised and self-motivated, with several years' experience in similar Personal Assistant or Executive Assistant roles. The role will require the successful candidate to assimilate a lot of information quickly and be proactive about their learning in order to onboard quickly and begin effectively supporting the Sales Director.

Duties:

This role will be responsible for providing administrative support to the Sales Director.

The primary activities are: Email management, including:

Assessing and triaging emails

Reviewing incoming escalations and queries and providing support or requesting further information

Diary management

Organising meetings on the SD's behalf

Handling travel or similar arrangements

Arrange meeting logistics, such as booking rooms, arranging video conferencing and catering where required

Meeting and administrative support

Booking meetings, preparing agendas, taking meeting note and minutes, following up on actions

Task management

Assisting with following up on progress of tasks and projects with others

Keeping the SD up to date on progress

Project Support

Draft communications on behalf of the SD

Prepare documentation or presentations

Carry out research and collate information for the SD

Draft proposals and business cases Essential

Experience: You will be required to demonstrate:

At least 3 years' experience in a Personal Assistant or Executive Assistant role, Excellent organisational time management skills, A clear and confident communication style, both written and verbal and be comfortable communicating at all levels, Follow structured written procedures, Be flexible and greet change positively, Always manage confidential information sensitively, Experience with the Microsoft suite (Outlook, Word, Excel, Teams), Experience handling multiple responsibilities at once with unwavering attention to detail at all times, Ability to learn quickly and begin working in the role immediately Desirable

Experience:

Experience working within a Sales department function; either within a Sales Team or PA to a Sales Leader Working Relationships: You will work closely with the Sales Director, providing them with administrative, and project support to achieve their goals. You will also work closely as part of a team of Executive Assistants who support other members of senior management to progress business priorities. Special/Additional Working Conditions: You will predominantly be working at our Bristol office on Tuesday-Thursday, with the option of remote working on Monday and Friday. Travel to our Head Office in Wellington (Somerset), Warrington and Milton Keynes offices will be required adhoc to support the Sales Director when they are visiting these locations. All offices are fully air-conditioned with a modern and spacious open-plan layout.
