Personal Assistant, Architectural firm, Permanent, Central London, £40,000-£45,000

Our client, a renowned architectural firm, requires a PA to deliver first class support to one of the co founders, plus Board Support. This is a permanent position, is to start ASAP and represents a great opportunity for an experienced PA to play a pivotal role in the company.

The key responsibilities of the PA are:

  • Extensive diary management - using Microsoft Outlook - forward planning, meeting preparation, maps, room/venue bookings, organisation and co-ordination of all aspects of the Director's activities (both business and personal)
  • Management and review of the Director's inbox, responding to emails on behalf of or researching, preparing information and drafting replies when necessary. Working alongside The Director to provide email dictation during regular catch ups
  • Instigating regular catch-ups to review the diary and outstanding tasks
  • Gate keeping, dealing with callers/visitors on the telephone and in person. Taking messages, passing them on effectively and maintaining a reliable tracking system to ensure that appropriate action is taken. Preparation of meeting agendas and affiliated reports/required documents. Taking and issuing minutes when required. Anticipating and initiating actions following meetings
  • Liaison with current and potential clients, fostering good working relationships with them and their support
  • Dealing with all paperwork, including binding, scanning, and post and management of all filing; both paper and electronic (using centralised document management system)
  • Business trip and personal travel arrangements (global), including flights, hotels, trains, car hire, visas, insurance, etc for clients and staff
  • Daily communication with other PAs and members of the Practice Operations team, as well as the architectural teams and all other support functions (HR, IT, Finance, Communications) to ensure the continued smooth running of the practice

Personal Attributes

  • Strong organisational skills with meticulous attention to detail. Ability to meet deadlines and coordinate numerous tasks simultaneously
  • Works with absolute confidentiality and discretion at all times
  • Proactive, with the ability to deal with issues before they arise, meeting constantly changing deadlines
  • Uses initiative and works well without supervision, making judgement calls on Executive Director's behalf when needed
  • A motivated, enthusiastic and flexible attitude, with a calm, positive and helpful personality and an ability to communicate at all levels
  • A strong team player, working alongside and supporting other members of the Practice Operations team, as well as members of the architectural teams, forging excellent relationships with all
  • Punctual, with the willingness to work outside of office hours if required. Works well under pressure in a fastpaced environment
  • Proven PA experience at Board level or similar
  • Educated to A-Level standard or similar
  • Excellent IT skills including advanced knowledge of Microsoft packages; Outlook, Word, Excel, PowerPoint, InDesign
  • Fast, accurate Touch Typing - minimum speed 60wpm
  • Excellent standard of written English
