Wedding Event Coordinator Location - Maidstone
Salary - Up to 26,522.50 per annum depending on experience
Permanent - 5 days out of 7, 40 hours per week

A most fantastic and exciting opportunity has just become available working for an exceptional client who offers some of the most exceptional wedding venues in Kent that suit every style and occasion. The venues are stunning, and the event is collaborated by an experienced team we are looking for a Wedding Event Coordinator to become a part of their amazing team!

The role is demanding in both detail and planning, the hours average 10-12 hours per shift. Would ideally suit someone with a great record of accomplishment in hospitality and event planning or who has worked within a hotel, bar or restaurant setting.

Responsibilities of the Wedding Event Coordinator

  • Communicate effectively with clients, site operational teams and sub-contractors, to plan and execute events to the highest standards.
  • Carry out show rounds for potential wedding and event bookings.
  • Responsible for all administration for weddings and events, ensuring it is relevant and accurate.
  • Ensure the smooth running of all weddings and hotel events.
  • Collect necessary client details for event planning, including preferences, timeline and special requests.
  • To confirm final event details with the organiser, such as menu and wine choices and final requirements, by drafting and sending their function sheet prior to the event date.
  • Issue weekly function sheets to the internal teams.
  • Work closely with the hotel teams to ensure they are set up according to the client specifications.
  • Remaining available for the events for any ad-hoc issues that may arise.
  • Be the customer's point of contact after booking, ensuring client has the best experience; ordering and delivering any additional extras.
  • Ensure all costs are effectively managed; create purchase orders and raise final invoices certifying figures.
  • Provide technical and logical site information to clients and suppliers on the venue, including layout plan and site visits.
  • Communicate effectively with the wider operations team and catering team, to ensure function rooms are set to the client's needs, including A.V. and catering stations.
  • Co-ordinate with suppliers from set-up to breakdown, handling queries, trouble-shooting and delivering on-site orientation.
  • Manage multiple email inboxes

Person Specification for the Role of Wedding Event Coordinator

  • It is essential the candidates know current bridal and wedding themes to integrate these into the company and venue culture
  • Must be experienced in the wedding industry
  • A minimum of 1 year as an Events Coordination within the Wedding or Corporate Events industry would be useful
  • Must hold GCSE Mathematics and English to a Grade 4 or above
  • Advanced qualifications (HND or Degree) in Hospitality or Events Management would be useful for the role
  • It is essential the candidate is flexible, driven and passionate about the industry
  • Organised with outstanding time management a useful attribute
