Administrative Assistant

We are seeking an experienced Administrator to join our skilled Trust and Estates team in London, offering a hybrid work arrangement (3 days onsite, 2 days remote). You will be part of one of the largest Trust departments in London who currently manage over 600 Trusts, probates, estates, small private charities, individual clients, their families, and provides administrative services for family offices.

Leveraging previous administrative and office experience, you will play a critical role in handling engagement letters, coordinating with various stakeholders, and maintaining accurate records. You will oversee the daily administration of trust accounts, ensuring adherence to legal requirements and company policies, while delivering exceptional service to our clients. This position requires a high level of organisation, attention to detail, and effective communication skills to facilitate the seamless administration of trust-related activities.

About the role

As an Administrative Assistant, some of your key responsibilities will include:

  • Handle Trust and Estate administration, including coordination with trustees, banks, beneficiaries, stockbrokers, and HMRC; manage cheque preparations, maintain cashbooks, and handle correspondence via letters and phone calls as needed.
  • Onboard new clients and manage client records by opening and closing accounts in our systems.
  • Perform various administrative tasks related to the operations of trustee client accounts.
  • Conduct weekly reviews of debtors and assist the team with following up on and organising the payment of outstanding fees; participate in monthly debtors review meetings with the credit control supervisor to update on the status of fee payments.
  • Perform accounting tasks, including preparing accounts for deputyship matters - not essential
  • Monitor accounts and prepare detailed cash flows, ensuring sufficient funds and arranging payments as necessary, maintaining key dates for LPA clients.
  • Assist other partners and offices with drafting engagement letters.
  • Undertake any other ad hoc and routine administrative tasks as required.

What we're looking for

  • Educated to graduate or A Levels or equivalent.
  • Previous experience in an administrative role.
  • Proficient skills in Microsoft Office, including Excel.
  • Basic understanding of trust accounting and taxation is desirable.
  • Excellent written, verbal, and keyboard communication skills.
  • Well-organised and flexible.
  • Ability to work as part of a team to meet deadlines.
