Responsibilities
Reporting into the National Transport Manager, and the Site Manager, you will be expected to:
- Communicate on the telephone with Customers and Hauliers in a polite and courteous manner
- Organise and allocate "Delivered" orders to Haulage contractors in the most cost effective and efficient manner, ensuring that deliveries are made in accordance with our customers and business's requirements
- Work with the site manager using forward planning to ensure that daily despatch tonnages are achieved and maintained effectively and efficiently
- Maintain regular contact with hauliers to resolve any issues, identify opportunities, improving service levels and efficiency's
- Comply with legislation and industry codes in relation to hazardous substances and all other requirements
- Monitor haulage costs in conjunction with the Business Support Services team making comparisons of rates achieved locally and nationally
- Ensure there are adequate numbers of haulage contractors to deliver and maintain site despatches
- Ensure the national haulier database is maintained with accurate and up to date information
- Chasing delivered orders to ensure product is delivered from site within the agreed time period
- Update and maintain the national chasers system to ensure that all issues in relation to "delivered" orders are recorded
- Update and maintain non-delivery reasons
- Ensure goods are received and despatched accurately according to company procedures and protocols
- Ensure accurate information is produced for Ship discharges (Site Dependant)
- Ensure that all bookings are executed on a daily basis by regularly communicating with haulage companies, where booked loads have not been collected
- Accurately confirm pick lists, following the return of the loading docket (pick list).
- Assist with the despatch desk, ensuring Site Rules and requirements are provided to visiting haulage contractors.
- Ensure the health and safety site rules are clearly explained to haulage contractors
- Check legal compliance with required legislation (ADR documentation)
- Ensure the weighbridge is operated in accordance with company procedures and policies, so that vehicles are weighed in and off site (Site dependent)
- Update the Site Manager, Sales Support and Business Support Services on all transport related issues.
- Assist colleagues on site or at other sites across the UK due to holiday, sickness or work load to ensure the smooth running of the national business (No travel required)
- Train other office, Transport or despatch desk staff (Depending on Experience)
- Adhere to company procedures in relation to all aspects of the IT systems, Business admin processes, procedures and policies
- Carry out all other reasonable requests from line management
Skills Required
- Excellent interpersonal and negotiation skills
- Previous experience in a customer facing role
- A can-do attitude is essential in this role, to ensure our customers receive a high level of service
- An excellent telephone manner is essential, having the ability to communicate clearly at all levels and keep a calm presence within the office and on the telephone when under pressure
- A good team member with the ability to work in a small onsite team, nationally with transport co-ordinators from other sites and the Business support services team
- Accurate computer skills required to ensure the correct costs are set against the correct haulage contractor
- Previous experience in a transport/haulage position is desired but not essential as training will be provided
- Good general understanding of PC applications including Microsoft Word and Excel
