Property Manager

My client is a well established Independent agency based in Cardiff.

Due to an increase in Business levels they are looking to employ an experienced Property Manager to oversee and develop their portfolio consisting of 175 properties and 10 blocks (they are small with a maximum of 13 properties).

General Role:

  • Serve as the primary point of contact for tenants and landlords during tenancy.
  • Handle general inquiries outside of the letting period.
  • Advise landlords on legislation and compliance regarding tenancies.
  • Manage communal areas and act as a liaison between leaseholders, directors of management companies, and freeholders.

Day-to-Day Responsibilities:

  • Create job sheets from tenant maintenance reports.
  • Collaborate with tenants to gather detailed information for job sheets.
  • Maintain and update systems in accordance with company policy.
  • Coordinate with contractors to ensure work is completed within designated time frames and budgets.
  • Provide landlords with overviews and time frames for planned works.
  • Maintain high-level communication with landlords to keep them informed of changes at the property.
  • Coordinate with lettings to ensure tenant requirements are communicated to and met by landlords before tenancy begins.
  • Attend annual general meetings (AGMs) for block management.
  • Maintain oversight of health and fire safety according to fire risk assessments and asbestos reports. Maintain a gas safety list ensuring all are compliant.
  • Schedule gas safety inspections with contractors.
  • Ensure tenancies comply with any changes in gas safety regulations.
  • Analyze check-out reports and negotiate deductions with tenants.
  • Estimate costs for repairs due to tenant damage (excluding wear and tear).
  • Work with contractors to agree on repair costs.
  • Forward check-out discussions to accounts for single claim processing. Finance:
  • Verify invoices to ensure work is completed to standard and within budget.
  • Close jobs upon satisfactory completion and submit invoices for processing.
  • Update systems with completed maintenance jobs.
  • Create budgets and forecasts for service charge purposes.
  • Keep inspection lists current.
  • Conduct inspections to identify and communicate property issues to landlords.
  • Plan and budget subsequent works with landlords.
  • Complete and file inspection reports.
  • Perform safety checks during inspections to ensure compliance with fire safety and general health and safety standards.

Salary

  • Salary according to relevant experience: £24,000 to £29,000 per annum.
  • The above salary includes a basic salary, plus commission based on business generated or targets reached. These figures are a guide.

Working Hours

  • Work approximately 40 hours per week, 5 days a week, with 30 minutes for lunch
  • 9am - 5.30pm Monday to Friday.
  • Work one Tuesday to Saturday schedule per month (Saturday hours: 1000-1600)
  • 22 days holiday plus statutory holidays.
