Document Controller Job Details
JobMatcha are recruiting for a Document Controller to join our project in Amersham. In your role you will be responsible for completing tasks and procedures. May also be responsible for initiating tasks and procedures within limited parameters. The ability to gain knowledge and understanding of a subject area of work or study, and to perform varies tasks with some guidance or supervision. Locate technical data (records, reports and other project-specific information) from several sources and file in accordance with protocol, identify any data gaps and, by speaking to the supply chain and others, fill those data gaps.
Document Controller Key Information:
- 8 hours a day - Mon to Fri
- Location Amersham, HP7 0UT
- 9 month assignment
Competencies and Requirements for the Document Controller role:
- Must have Right to Work in the UK
- Experience in a similar role
- Good communicator, organised, self-motivated, quick learner, Word, Outlook, Excel, can navigate new systems
Specific Tasks and Responsibilities for the Document Controller role:
Drawings
- Using existing drawing registers, locate digital drawings from several sources (in .dwg and.pdf format) and file in accordance with protocol.
- Review hard copy paper drawings and update drawing registers.
- Update drawing register to confirm which drawings have been located and which have not.
Planned and Reactive Maintenance Records
- Using a schedule of programmed maintenance as reference, locate and file planned maintenance records for maintenance delivered by supply chain partners in accordance with filing protocol.
- Contact supply chain partners to obtain any planned maintenance records that are missing and file in accordance with protocol.
- Liaise with Vinci colleagues to obtain CAFM records for self-delivered planned maintenance and reactive maintenance tasks (records to be produced by others).
- Contact supply chain partners to obtain records for reactive maintenance tasks completed by the supply chain.
- Maintain an up-to-date schedule of records located and records missing.
Other Project Documents
- Using a pre-prepared document register, locate defined documents from several sources and file in accordance with protocol.
- Update document register to confirm which documents have been located and which have not.
Essential Skills
- Able to use Microsoft Office applications (e.g. word and excel) to a proficient level.
- Experienced in navigating and working within a Microsoft Sharepoint environment.
- Confident to approach supply chain members and colleagues from across the business and request information (contact details will be provided)
- Previous experience of working within an engineering environment.
Desirable Skills
- Experience of working within a Facilities Management environment (ideally healthcare or education).
- Understanding of planned maintenance activities on public buildings.
