Are you an experienced administrator looking to make a significant impact within a dynamic and reputable company? Our client, a distinguished importer of top-tier products and equipment, collaborates with leading distributors and specialists in the industry. Renowned for their exceptional service, profound equipment knowledge, and world-leading brands, they are now seeking a dedicated administrator to join their team.

The Role:

This pivotal role is essential to the seamless operation of the business, serving as a critical link between the factory, the business, and customers.

Key Responsibilities:

  • Liaise with the factory to request information on pricing, specifications, lead times and drawings and communicate these details to customers.
  • Follow up with customers to ensure they have all the required information and provide any additional details they need.
  • Manage all quotations passing through the office, ensuring their timely progression and status updates.
  • Ensure all quotes are logged on the system and sent out on time with accurate documentation and information, including relevant drawings and accompanying details.
  • File all quotations correctly and promptly.
  • Regularly input sales data into the database, ensuring all necessary information is recorded.
  • Regularly communicate with internal colleagues, customers, and factories via telephone or email, prioritizing messages and passing on information as needed.
  • Provide a polite, prompt, and professional response to incoming sales calls, ensuring all necessary information from sales enquiries is captured for the Sales Manager.
  • Type general correspondence and letters to the required company standard for the Managing Director as needed.
  • Acquire, maintain, and develop knowledge of the company's products and services.
  • Assist with other reasonable duties as required by the company.

The Ideal Candidate:

  • Excellent communication skills, confident in interacting with people at all levels over the phone, in person, and via email.
  • Highly organised with the ability to prioritise and manage a busy and rapidly evolving work schedule.
  • Proven track record of working in a commercially focused admin role.
  • Excellent verbal and written language skills, with the ability to communicate information accurately and clearly.
  • Ability to build, maintain, and develop strong working relationships.
  • Exceptional attention to detail.
  • Flexible approach to tasks and willingness to assist colleagues as needed.
