The Client:-

Is a world-class university with a focuses on science, research, engineering, medicine and business.

The Role:-

Based in the Student Office, the Student Office Administrator will support the efficient administration of all taught programmes in the Department of Materials. They will be responsible for administrative aspects of coursework management, work placements/exchange programmes organisation and UROP, Erasmus, and occasional students.

  • Working proactively alongside Tutors and Course Directors to ensure coursework submission and marking is supported
  • Setting up and monitoring all assignments for coursework submissions on Blackboard Learn
  • Responsible for inputting all coursework marks in the department database, including download of student submission files
  • Monitoring academic staff coursework marking, late marking, recording and reporting
  • Provide advice and training to all team members on the College VLA systems
  • Ensure course work information is up-to-date and included in the student handbooks
  • Ensuring deadlines are evenly spread out over the academic year and producing the deadline planner inserts for the student handbooks
  • Blackboard Learn database management for the department
  • Provide full committee servicing function for the Student Staff Committee Meetings, assisting with the preparation of agendas and committee papers, taking minutes and carrying out follow-up actions as required
  • Support the Student Office team
  • Answering and resolving queries, providing expert advice on teaching policies and processes and escalating information requests when needed
  • Working with the Senior Student Office Administrator in the examinations process, producing and dissemination of mark sheets and collation and keeping of student results records
  • Responsible for ‘laptop pool'.
  • Responsible for managing and maintaining information on student work placements
  • Updating student lists, company details and contacts, risk assessments etc
  • Responsibility for setting up and maintaining the Blackboard Learn work placement folder including liaising with contacts at other institutions (along with the work placement coordinator) to establish agreed processes and projects available and disseminating this to students.
  • Dealing with student placement queries and assisting in the placement talk to students given by the work placements coordinator
  • To work closely with the work placements coordinator to organise processes for exchange programmes available to students in the department
  • Ensuring all visiting students have access to College systems required for their studies including, Blackboard Learn, Panopto, Celcat etc
  • To liaise with the Assistant Registrar for Placements and institutions that are supporting their students with their applications
  • Responsible for the room bookings process
  • To assist in the exam organisation (seating plans, room set-up), including the production and dissemination of mark sheets, entering marks, collation and keeping of student results records (alongside others in the team, at busy periods)
