Are you a detail-oriented and dynamic individual? Do you thrive in a fast-paced and diverse work environment? Our client is seeking an Office Administrator to join their team and contribute to the smooth day-to-day operations of their organisation.

As the first point of contact for all visitors, the Office Administrator will greet guests with a warm and friendly demeanour, ensuring a positive and professional experience. With excellent organisational skills, the successful candidate will manage four meeting rooms, overseeing reservations, and ensuring they are prepared for meetings. Equipped with strong communication skills, the Office Administrator will handle incoming calls and direct inquiries to the appropriate team members.

Duties:

  • Manage 4 meeting rooms and ensure their readiness for meetings
  • Act as the first point of contact for all visitors, providing a warm welcome
  • Handle incoming phone calls and direct inquiries to the relevant contacts
  • Support the catering team by assisting with refreshment setup and ensuring a delightful service for visitors
  • Manage couriers and handle incoming and outgoing mail efficiently
  • Assist with filing and printing tasks
  • Oversee stationery and office supplies, ensuring availability and restocking when needed
  • Assist with document control and production
  • Monitor and respond to the business email inbox
  • Provide event assistance, including distribution of materials and meeting and greeting guests
  • Undertake ad-hoc projects to support the organisation as needed

Requirements:

  • An interest/passion to join a non-for-profit organisation
  • Experience in a similar role, preferably within a fast-paced environment
  • Strong communication and interpersonal skills
  • Excellent organisational abilities and attention to detail
  • Proficient in Microsoft Office Suite and other relevant software
  • Ability to work independently and prioritise tasks effectively
  • Proactive and positive attitude, with the ability to represent the organisation professionally
