37.5 hours per week, Monday to Friday

This is an exciting opportunity to join this 60bed care home in Dereham as the Head of Administration. No two days are the same and the role is both varied and fast paced. This is a key role within the home as the Head of Administration will be liaising with residents, their families, employees at the home and external suppliers.

To be an effective Head of Administration, we are looking for someone with first class communication skills, both written and verbal. The Ideal candidate will be organised, detail oriented and have effective computer skills.

Key responsibilities of the Head of Administration:

  • Ensure smooth and efficient running of the administration department.
  • Manage the administration team rota, annual leave, and sick leave.
  • Collate data for invoicing in conjunction with the Finance Department.
  • Maintain the Purchase Ledger and assisting in the running of the Purchase Order System.
  • Keep accurate and up to date records of all orders and invoices submitted for reconciliation to finance to allow prompt and accurate responses to enquiries.
  • Collect, record, and follow up on non-payment of fee income from local authorities and private fee payers.
  • Maintain the Home's petty cash, including recording all disbursements and action reclaims to maintain the float.
  • Prepare and submit the daily/weekly/monthly payroll returns accurately, to include hours worked, sickness, holidays, starters and leavers for submission to Head Office in a timely and accurate manner to meet the payroll deadline.
  • Maintain employee personnel records.

General Administrative Tasks:

  • Provide clerical support to the General Manager and other staff as needed, to include diary management, word processing, photocopying, filing etc.
  • Perform reception duties, providing a focal point for visitors and telephone enquirers, promoting a positive image and customer service approach throughout.
  • Be fully conversant with Excel and Word and full training will be given on our bespoke computer systems.
