IT Service Administrator

The role:

We are seeking a detail-oriented and proactive IT Service Administrator to join our team. The ideal candidate will be responsible for managing IT assets, processing orders and ensuring the smooth administration of IT services. This role requires excellent organizational skills, the ability to handle multiple tasks efficiently and an attention to detail.

Key Responsibilities:

Raising Purchase Orders (POs):

  • Generate and manage purchase orders for IT equipment and services.

  • Ensure timely approval and processing of POs.

Order Kit:

  • Coordinate the procurement of IT hardware and software.

  • Ensure timely delivery and distribution of ordered items.

Stock Control:

  • Maintain accurate records of IT inventory.

  • Monitor stock levels and reorder supplies as needed.

Checking Invoices and Approving:

  • Review and verify IT-related invoices.

  • Approve invoices for payment in accordance with company policies.

Asset Management:

  • Tag and record IT assets.

  • Manage the recovery of devices from leavers.

  • Distribute starter kits and associated peripherals to new employees.

New Starter and Leaver Requests Management:

  • Confirm receipt of IT requests for new starters and leavers.

  • Coordinate the setup of IT equipment for new employees.

  • Audit leavers to ensure request have been received.

Software / Licence Renewal Tracking:

  • Monitor and track software licenses and renewals.

  • Ensure compliance with licensing agreements.

Mobile Phone Contract Management:

  • Manage mobile phone contracts and plans.

  • Order new mobiles are required

  • Ensure timely renewals and upgrades.

Quality Assurance of Service Desk Tickets:

  • Monitor IT service tickets and ensure appropriate escalation where necessary

  • Follow up on resolved tickets with user to ensure it was satisfactorily resolved.

Build Laptops following our documented automated AutoPilot process with full training given:

  • Configure and build laptops for new and existing employees.

  • Ensure all requested software and settings are installed.

Management of Team email:

  • Manage and process IT-related team emails.

  • Respond to queries and escalate issues as needed.

What were looking for:

  • Proven experience in IT service / office administration or a similar role.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in IT asset management (or similar) and procurement processes.
  • Familiarity with supplier management
  • Ability to work independently and as part of a team.
