We are seeking a dedicated and proactive Office Manager on behalf of our client based in Irlam, Manchester. You will be joining a lovely, family run business and playing an important role. As office manager you will be the front line of customer support, handling enquiries, processing orders, and ensuring an exceptional customer experience. The ideal candidate will possess strong communication skills, a passion for customer service, and the ability to resolve issues efficiently and professionally.

Key Responsibilities

Telephone Answering

  • Handle incoming calls with professionalism and promptness.
  • Address customer enquiries and resolve issues with a courteous approach.
  • Transfer calls to the appropriate department when necessary.
  • Maintain a positive and helpful demeanour at all times.

Order Processing

  • Accurately process orders received via phone, email, or online platforms.
  • Verify order details, including product availability, pricing, and shipping information.
  • Coordinate with warehouse and shipping departments to ensure timely delivery.
  • Manage order changes, cancellations, and returns in line with company policies.

Customer Enquiries

  • Respond to queries via phone, email, and chat, providing detailed product information.
  • Assist customers with usage instructions and troubleshooting.
  • Handle complaints, escalating to the relevant department when needed.
  • Record customer interactions in the CRM system.

Bookkeeping

  • Be responsible for basic bookkeeping duties
  • Actively get involved in credit control

Requirements

Experience

  • Previous experience in a customer service role is essential.
  • Experience with order processing and CRM systems is an advantage.

Skills

  • Exceptional verbal and written communication skills.
  • Strong problem-solving and conflict-resolution abilities.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Proficient in using office software (e.g., Sage, Hubspot, Office Suite).

Working Conditions

  • Standard office environment with working hours from 7:15 AM to 4:15 PM.
