Location: Peterborough City Council

Hourly Pay Rate: £14

Hours per week: 37h also part available (29.60 hours)

Assignment Lenth: 3 months initially (could lead to permanent role)

Secretaries need to be flexible in their approach to work and availability to attend the workplace as meetings are often convened or moved a short notice due to their nature.

Opus People Solutions is recruiting for 2 conference secretaires on behalf of Peterborough City Council. The role is broadly arranging, attending Child Protection meetings with the family and a group of professionals, and then producing the minutes, which are set in a statutory timeframe. As a secretary you do not have to convene the meetings but instead attend in person, they are usually held in the central library.

The role requires a reasonably high level of minute taking ability, the minutes are not verbatim so requires the Secretary to be able to follow, interpret and summarise conversations in a real time speaking environment.

It is important to know that these meetings will be regarding very sensitive and potentially upsetting information and on occasions involve verbal conflict from the family parties, albeit not aimed at the secretaries as they are observers; physical has not been an issue and is very unlikely to be. The meetings to put actions in place with families to safeguard the children where the Children are deemed at risk but remain in the family home.

Key Responsibilities:

  • Coordinate all aspects of conferences, meetings, and events organized by the council
  • Manage event logistics including venue selection, catering, audiovisual equipment, and accommodation
  • Prepare and distribute meeting agendas, materials, and minutes
  • Assist with budget management and financial reporting for events
  • Liaise with internal departments, external vendors, and stakeholders to ensure smooth event execution
  • Provide administrative support to the conference planning team as needed

Qualifications and Skills:

  • Proven experience in event planning, coordination, or administration
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • Proficiency in Microsoft Office suite and event management software
  • Ability to work effectively in a fast-paced environment and meet deadlines
  • A keen eye for detail and a proactive approach to problem-solving
