Job Title: HR & Admin Support

Salary: 22,505 to £27,312 (pro rota) Scale: 1- 16

Hours: 30 Hours per week (ideally over 4 days per week)

DUTIES & RESPONSIBILITIES

To support the HR Team, you will:

  • Providing high volume recruitment admin support
  • Co-ordinating 1st and 2nd stage interviews and preparing interview packs
  • Updating spreadsheets accordingly to track process of each role
  • Creating and sending offer letters and contracts to new appoints, also sending out contracts to existing staff should there be any contractual changes. Ensuring new starters paperwork is completed from start to finish.
  • Ensuring the personnel files are up to date
  • Chasing relevant new starter checks that are required for an employee to start in line with our safer recruitment policy and Ofsted regulations, to include chasing references, identifying gaps in employment and obtaining medical fit certificates.
  • Obtaining relevant qualifications and processing DBS applications and DBS renewals.
  • Being involved in safer recruitment updates
  • Ensuring probation records are up to date
  • Maintain spreadsheets and systems to ensure all staff records are up-to-date.
  • Collating information for diversity statistics
  • Complying with GDPR Procedures - to ensure all documents are stored correctly and leavers documents are removed accordingly.
  • Minute taking meetings as and when required
  • Staff Welfare - informing staff of company benefits and assisting with the management of these
  • Updating sickness records and reporting to managers with Return to Works that are required to be carried out
  • You will deal with email queries handling these appropriately
  • Communicate effectively and confidently with senior leadership, other staff, service users and other professionals.
  • Supporting with any other HR ad hoc administrative duties required such as updating sickness spreadsheets, ensuring RTW have been completed and responding to reference request.

To support the Centre Administrator, you will:

  • You will when required support the Centre Administrator to answer calls ensuring they are directed to the most suitable person in a professional manner.
  • Answer the door, complying with safeguarding procedures, directing visitors to where they should be
  • ensure petty cash systems are up-to-date
  • Ensure staff occupancy spreadsheets are up-to-date
  • Sign in post accordingly
  • Update the visitors list
  • Assist with board documents, ensuring these are sent out in a timely manner
  • Book meeting rooms

Special Conditions:

All staff are expected to work in a flexible way to cope with the needs, demands and requirements of the Centres. This may mean attending or working from either centres, Coventry, Birmingham, and Wolverhampton.

There will be potential to work additional hours to cover the Centre Administrators duties when they are on leave.
