Executive Assistant (TEAM)

An excellent Team EA role has been created for an international prestigious Financial institutional client based in London. Our client, a ultra fast growth business has been featured in numerous newspapers and recognised to be at the forefront of this industry. You will be supporting the Chief of staff and the CEO, managing the Executive team.

The company is in a strong position despite the even the Covid situation and extremely profitable. In fact they are busy Quadrupling their workforce and recently purchased new larger offices when many companies are downsizing. Their assets reach into several £Billions.

A truly excellent role for a candidate wishing to join the company on a permanent basis. A professional and courteous individual who can also be confident in their own actions would thrive here.

The role would suit a proactive and capable individual with a passion to deliver to the highest standard. Another trait of being highly organised with a common sense approach would do really well.

Experience in the Financial services Banking of lending would be essential.

RolePurpose:

  • Reporting to the Head of Regulation and Investors to ensure the smooth running of day-to-day activities for the wider team. The daily priorities will be to assist the senior member with high level intensive tasks, ensuring all are completed efficiently & in a timely fashion.
  • The candidate will be the main point of contact and a strong minded, resilient and switched on candidate would work well in this team. The speed at which this team works is very fast, (Not an understatement) it is important that you can juggle tasks and understand different working styles, as well as handling last-minute requests.

Role Responsibilities:

  • Daily management of multiple email accounts.
  • Preparing & drafting emails.
  • Managing the diary & ensuring meetings are organised & rooms booked as required.
  • Proof-read legal documentation, ensuring compliance & highlighting any issues.
  • Organising the signing, scanning & posting of legal documentation.
  • Maintaining monthly reports for internal & external stakeholders.
  • Maintaining monthly payment schedules.
  • Liaising with external business partners.
  • Keeping up to date with Anti-Money Laundering legislation.
  • Assisting with preparing quarterly reports.
  • Assisting with performance management for the team.
  • Preparing loan statements & weekly reports to ensure compliance.
  • Respond to requests for information providing draft responses for approval.
  • Manage an accurate diary, scheduling and planning future engagements.
  • Act as key point of contact & being a true gatekeeper.
  • In the absence of the Head of Regulation/Investors, take ownership and make decisions to delegate work to others where it is appropriate to do so.
  • Preparation of presentations & reports as well as undertaking research and providing
  • notes for meetings.
  • To obtain a level of understanding of the organisation's strategic priorities.
  • Flag and anticipate activities, conflicting priorities, and deadlines, as well as managing time allocation for workload delivery.
  • Assisting with new stakeholder projects.
  • To organise and plan meetings for external stakeholders and client meetings.
  • Undertake any other ad hoc duties as required.

Work from home:

Due to the exponential growth of this company -Quadrupling in size over 4 years they need to manage this culture and workflow. For now they only allow working from the office. Please note they do not have a work from home culture as this has not worked for them in the past.
