Personal Assistant to CEO

Job Overview:

An exciting opportunity has arisen for a highly organised and proactive Personal Assistant to support the CEO and two Directors of a leading global insurance brokerage firm based in Manchester. You will be responsible for managing busy diaries, coordinating travel, and handling a wide range of administrative tasks. This role also includes organising team meetings, events, and managing the office's day-to-day operations.

We are looking for a confident and adaptable individual with strong multitasking abilities, excellent communication skills, and a keen eye for detail. In this role, you will be pivotal in helping senior leaders work effectively by providing seamless administrative support.

The successful candidate will have the personality and confidence to manage upwards, ensuring the important tasks and initiatives and executed in a timely manner.

Key Responsibilities:

  • Diary Management: Manage complex calendars for the CEO and two Directors, ensuring efficient scheduling of meetings, appointments, and travel.
  • Travel Arrangements: Organise travel plans including trains, flights, hotels, and transport, ensuring all logistics are seamless and itineraries are up to date.
  • Document Preparation: Create, format, and proofread reports, presentations, and other important documents for meetings and presentations.
  • Meeting Coordination: Schedule and organise team 1-1s, appraisals, and other internal meetings. Take meeting minutes and ensure follow-up actions are tracked.
  • Event & Conference Planning: Coordinate company events, conferences, and team-building activities, including managing venues, catering, and agendas.
  • General Office Management: Ensure the smooth running of the office by overseeing stationery supplies, liaising with suppliers, and managing office-related administration.
  • Communication Liaison: Act as the point of contact between senior management and internal/external stakeholders.
  • Confidentiality & Discretion: Handle sensitive and confidential information with the utmost professionalism.

Key Skills & Experience:

  • Proven experience in a similar Personal Assistant role, preferably supporting C-suite executives.
  • Excellent organisational and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Ability to work under pressure and manage time efficiently.
  • Experience in organising travel and managing complex itineraries.
  • Highly adaptable with the ability to anticipate needs and work autonomously.
  • High levels of discretion and professionalism.
