Executive Assistant to Chief Executive

  • Salary £17-18.53 per hour (up to £35,745)
  • Location: Hybrid working / Norwich, City Hall
  • Job Type: Full-time (Temporary to December 2024, probably longer)

We are seeking an Executive Assistant to provide comprehensive support to our Chief Executive. This role requires a highly organised individual with a proven track record of supporting executive-level management, ideally within local government. This is a Hybrid role however the successful candidate will be expected to work at City Hall in Norwich from Tuesday to Thursday each week. Due to the senior nature of this you, the successful applicant will need to have flexibility on their hours to support the Chief Executive and business needs. You will have the capability to manage and support new team members.

Day-to-day of the role:

  • Provide high-level administrative support to the Chief Executive, including managing schedules, correspondence, and travel arrangements.
  • Act as the first point of contact for the Chief Executive, handling enquiries and requests efficiently.
  • Prepare and edit communications, presentations, and other documents.
  • File and retrieve documents and reference materials.
  • Conduct research, assemble data, and prepare papers for consideration and presentation.
  • Arrange and coordinate meetings and events.
  • Record, transcribe, and distribute minutes of meetings.
  • Monitor, respond to, and distribute incoming communications.
  • Liaise with internal staff at all levels.
  • Interact with external clients and stakeholders.
  • Review operating practices and implement improvements where necessary.
  • Supervise and train new team members, providing guidance and support.

Required Skills & Qualifications:

  • Extensive experience in an Executive Assistant / Senior PA role supporting senior-level executives.
  • Desirable background in local government.
  • Experience in managing and supporting a team.
  • Excellent organisational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in MS Office and administrative software.
  • Ability to work independently and handle confidential information with discretion.
  • Flexible and adaptable to changing workloads.
