People Associate

HR Coordinator role - full time office based Monday to Friday 9am to 6pm.

The nature of what we do is that the People functions are very inter-dependent. Recruitment:

  • Lead on coordinating the recruitment process which will involve tracking the online recruitment system, placing adverts, answering queries from candidates, and arranging interviews.
  • Screen CVs where needed, against a strong job description and your detailed understanding of the roles we're looking for.
  • Ensure all CVs, details and interview notes are captured in the Applicant Tracking System (ATS).
  • Ensure interview panels have all relevant access and past feedback prior to scheduled interviews.
  • Ensure candidates are well informed of the interview process.

Employee onboarding:

  • Responsible for completing employment checks including obtaining references, verifying right to work in the UK, and issuing employment contracts in a timely manner.
  • Create new employee file on SharePoint and the HRIS.
  • Ensure all relevant parties are well informed about any new starters and the new starter list is updated.
  • Work with the Operations Team to ensure new starter's accounts are setup well in advance and that they have access to all relevant information prior to their start date. This includes ensuring that they have their laptop on or before their start date.
  • Arrange pass for collection on their first day.
  • Assist all new starters with any need-to-know information prior to their start date and in their first few weeks.
  • Support with onboarding activities when they join, as needed.

Payroll and benefits

  • Responsible for collating all the relevant data for payroll purposes and updating the payroll spreadsheet in time for the monthly payroll deadline and ensuring that the supporting documents saved in the HR folder.
  • Ensure all post probation benefits are extended to employees.
  • Load all new Vitality enrolments on the platform and liaise with the relevant employee to ensure this is done correctly.
  • Ensure benefits are added to employee HRIS folder.

Employee offboarding

  • Ensure all relevant parties are informed of the employee's last day.
  • Ensure offboarding process is initiated on the HRIS, including issuing relevant documents or letters as required.
  • Be available to check and accept employee assets on their final day.

Employee events and wellbeing:

  • Attend weekly events meetings and take effective minutes, driving actions across the teams
  • Drive engagement amongst the events team.
  • Assist with sourcing venues, equipment, refreshments and anything else that is relevant for employee events.
  • Send out invitations, reminders and general notices about events to drive excitement and engagement amongst the team.
  • Liaise with the marketing team to ensure adequate marketing material, including photos of actual events are sent to them for marketing purposes.
  • Meet and engage with the team regularly, both face to face and via Teams, to ensure you understand current challenges and start to think of potential solutions. You will need to feedback at all times to the People Lead to ensure they have context and can advise and/or offer support where needed.

Ongoing:

  • Management of the shared People email inbox and timely response to queries.
  • Collaborate with the finance team to keep track of asset allocations and ensure it is managed correctly.
  • Work with the Operations team to ensure that all employee assets are accounted for and managed properly.
  • Keep the People Lead, as well as the Operations Lead, updated on project progress as and when required.
  • Attend employee events as and when required/able and represent the People team I nan appropriate manner.
  • Ensure the People SharePoint is always updated with most recent information.
  • Ensure the HRIS is always kept up to date with new joiners, leavers and movers.
  • Ensure all people systems are updated as and when required.
  • Reporting on people metrics, as and when required, such as for Board reporting.
  • Ad hoc administrative and operational tasks that fall within the People remit.

  • Be prepared to work in the London office full time. There may be some flexibility to work from home from time to time, but the basis of this role will be in the office full time.
