Senior Office Coordinator

Exciting new role in for a Senior Administrator to join an Executive Office team, providing exceptional business support within the Chief Executive Office. The successful candidate will be instrumental in supporting the Chief of Staff, managing a variety of managerial and administrative tasks, and overseeing delegated workstreams to ensure the efficient operation of the business and the advancement of the Chief Executive's priorities.

Day to Day of the role:

  • Lead and coordinate initiatives as delegated by the Chief of Staff.
  • Develop and administer plans using project/programme methodology where appropriate.
  • Liaise with key stakeholders across the Executive Management Board and senior leaders in the Trust.
  • Work autonomously within an agreed portfolio to achieve defined results.
  • Maintain and update plans and trackers with identified metrics to support strategic objectives.
  • Monitor financial and performance activity, addressing any budget variances and proposing remedial action.
  • Coordinate inputs from various departments to ensure consistent and timely governance processes.
  • Analyse information from multiple workstreams or projects to identify a critical path.
  • Monitor identified risks and issues, highlighting necessary actions.
  • Analyse performance, workload, or resource reports to mitigate potential project standard failures.
  • Manage the coordination of committees, steering groups, and formal meetings, including agenda compilation and action item follow-up.
  • Establish and improve office information systems and processes, ensuring efficient service and governance adherence.
  • Develop policies and procedures as required.
  • Provide guidance and support across the directorate and within the Executive Office.
  • Handle complex, sensitive information and ensure stakeholders are informed appropriately.
  • Monitor financial spend and manage procurement processes in line with financial instructions.
  • Demonstrate commitment to personal development and continuous learning.
  • Provide expertise in computer hardware and software, including Microsoft Office Suite and other relevant systems.

Required Skills & Qualifications:

  • Proven experience in a similar administrative or managerial role.
  • Strong project management skills and familiarity with project/programme methodologies.
  • Excellent stakeholder engagement and relationship-building abilities.
  • Autonomous working capability with a track record of achieving results.
  • Proficient in financial monitoring and procurement processes.
  • Advanced computer skills, including Microsoft Office Suite and relevant systems.
  • Excellent communication skills, both written and oral.
  • Ability to handle sensitive information discreetly.
  • Commitment to personal development and continuous learning.
