Position Summary

We are seeking a highly organised and detail-oriented person to join our growing team. As the Sales Coordinator, you will play a crucial role in coordinating our expanding global sales team. You will support the team and encourage smooth day-to-day operations by reinforcing team culture, providing administrative support and delegating actions outside the team. This role is key to enabling the sales team to focus on generating new opportunities and closing deals.

Role responsibilities:

  • Provide administrative support to the Head of Sales and wider sales team, managing calendars, scheduling meetings and supporting with expense receipt submissions.
  • Support the team with travel arrangements, booking appropriate flights, accommodation and other necessities.
  • Act as a point of contact for customers, providing timely and professional responses to enquiries.
  • Generate accurate quotes based on product specifications and pricing structures.
  • Assist the sales team in preparing sales materials, enhancing the team's ability to effectively communicate value propositions to potential clients.
  • Work closely with the Production team to ensure the seamless handover of sales projects, ensuring all relevant information is transferred.
  • Support the team with the input and maintenance of accurate data within our CRM system.
  • Purchase and organise marketing materials for conferences, including merchandise, conference bookings and booths, taking accountability of the process from order and payment, through to delivery and invoice management.
  • Support with the organisation of our attendance at global conferences, coordinating with Logistics and ensuring everyone involved has the relevant information and access to equipment, materials etc to allow the conference to run smoothly.
  • Maintain strong working relationships with external marketing vendors, including graphic designers, wed designers, conference booth designers and manufacturers, ensuring marketing projects are completed on time, within budget and to quality standards.
  • Deputise for the Office Manager and supporting the wider team when needed.

Role requirements:

  • Significant experience in a similar role, with proven experience of providing coordination or administration support to a sales team, preferably in the technology or scientific research industry.
  • Collaborative and team-oriented mindset, able to work effectively with colleagues across multiple departments working towards a common goal, facilitate communication and follow projects through to completion.
  • Strong attention to detail and highly organised, able to manage multiple tasks and prioritise effectively.
  • Confident with IT, proficient in CRM systems such as Salesforce, Microsoft Office packages and other relevant software.
  • Excellent written and verbal communication skills, able to communicate effectively with both colleagues, external vendors and customers.
  • Strong problem-solving skills, able to proactively identify and resolve issues, ensuring efficient sales operations and customer satisfaction.
  • Familiarity with global markets and cultures would be beneficial, as our sales team covers various regions.
  • A relevant degree such as Business Administration or Marketing is desirable, but not essential.
