Our client is a leading supplier of home textiles to the retail sector in the UK, who now have an excellent opportunity for a Sales Administrator to join their growing Head Office team.

Purpose of role:

They are seeking a highly organised and proactive Sales / Customer Service Administrator to join our team. The successful candidate will be responsible for handling customer queries, managing orders, supporting the sales team, and performing various administrative tasks to ensure smooth operations within the department.

Key Responsibilities:

Customer Service

  • Respond to customer queries via emails and phone calls.
  • Address and resolve customer issues, including faulty items, returns, resends, and refunds through various customers platforms.

Sales Support

  • Assist sales representatives and agents with any required support.
  • Fill product information and images for customers as needed.
  • Send stock reports to the sales team and upload price lists and promotional materials.

Order Management

  • Input, hold, and cancel orders accurately and efficiently.
  • Download and upload orders for various clients.
  • Release orders for processing and handle invoicing and credit activities, including creating commercial invoices and packing lists.
  • Monitor and manage orders, including checking, amending, cancelling orders, and tracking shipments.
  • Create deliveries and collections via agreed delivery companies.
  • Processing claims for damaged or missing items via delivery companies.
  • Generate pro forma invoices and manage order/sample pickups from the warehouse.

Administrative Support

  • Cover roles within the department and offer support to other departments when needed.
  • Take in deliveries and welcome visitors.
  • Send out copy invoices, credit notes, and delivery notes.
  • Chase and manage order/sample pickups from the warehouse.
  • Handle commercial invoices and credits for direct invoicing.

Experience required:

  • Proven experience in customer service and sales support.
  • Strong organisational and multitasking abilities.
  • Excellent communication skills, both written and verbal
  • Ability to work independently and as part of a team.
  • High attention to detail and accuracy.
  • Familiarity with handling commercial invoices and credits an advantage.
  • The ability to multitask in a fast-paced environment.
