The Job

As a Payroll Officer, you will support the Payroll Manager in delivering an exceptional payroll service that is accurate, timely, and efficient. You will ensure compliance with all statutory and external requirements and regulations, managing various aspects of payroll administration for all staff across the charity.

Duties

  • Accurately input data into payroll systems to ensure correct setup and calculation of tax codes, entitlements, National Insurance, pensions, and other deductions for lay staff, ministers, and pensioners, following statutory requirements and instructions from HMRC, HR, Circuit Treasurers, and other clients.
  • Calculate final payments as notified by HR and Circuit Treasurers, recover any loan balances, and send P45s by the contractual pay date following the employee's last day of service.
  • Ensure all statutory and voluntary deductions are correctly made and remit monthly payments to the appropriate recipients.
  • Prepare and post payroll summaries to the nominal ledger and reconcile control and loan accounts each month.
  • Update and submit RTI submissions (including FPS and EPS) to HMRC and upload tax code changes, ensuring data accuracy.
  • Reconcile and remit monthly payments to HMRC for income tax, national insurance contributions, and any other statutory recoveries.
  • Produce monthly debit statements, handle queries from staff, ministers, and treasurers, and provide payroll information to HR, HMRC, and other government departments.
  • Perform the annual payroll year-end routine, ensuring records reconcile with net pay, PAYE, and other payments on the annual returns.
  • Prepare bank reconciliations for all accounts managed by the team, promptly resolving any outstanding items.
  • Contribute to checking, quality control, and maintenance of records to ensure accuracy, service quality, and data integrity.
  • Undertake any other reasonable duties as requested by the Payroll Supervisor and Payroll Manager.

Proven Abilities, Knowledge, and Skills

  • Experience in processing payroll: starters, leavers, changes, sick pay, maternity, deductions, shared parental leave, auto-enrolment
  • Proven experience in communicating both in writing and verbally with senior managers and other non-finance stakeholders
  • Ability to effectively handle processes for starters, leavers, pensions auto-enrolment, and payroll year-end reconciliations
  • Highly numerate with a keen attention to detail
  • Good understanding of accounting principles, including double-entry bookkeeping
  • Good understanding of tax, National Insurance, and pensions administration
  • Experience with using IRIS Cascade HR, Star, and PSE (Northgate)

Education and Training

  • CIPP Qualified or equivalent, or qualified by experience
  • English and Maths GCSEs at grade 5 or above (or equivalent qualifications)
