Role Overview: As the Assistant Finance Manager, you will support the CEO in various financial activities, including reconciliation, VAT returns, bookkeeping, raising invoices, following up on unpaid invoices, and managing the company's expenses. This role requires a detail-oriented professional with strong analytical skills and a comprehensive understanding of financial principles and practices.

Responsibilities:

  1. Financial Reconciliation and VAT Returns:
  • Perform regular bank and account reconciliations to ensure accurate financial records.

  • Prepare and submit VAT returns in compliance with HMRC regulations.

  • Assist in month-end and year-end closing processes.

  1. Bookkeeping and Financial Records Management:
  • Maintain accurate and up-to-date financial records using accounting software.

  • Record financial transactions and ensure all entries are accurate and complete.

  • Assist in preparing financial statements and reports.

  1. Invoicing and Accounts Receivable:
  • Raise and issue invoices to clients promptly and accurately.

  • Follow up on unpaid invoices to ensure timely collection of receivables.

  • Manage and resolve any invoicing discrepancies.

  1. Expense Management:
  • Oversee the management and reconciliation of company expenses.

  • Process expense claims and ensure compliance with company policies.

  • Monitor and report on expense trends and variances.

KPIs:

  1. Accuracy and Timeliness of Financial Records:
  • Ensure all financial records are accurate and up-to-date.

  • Complete reconciliations and VAT returns within specified deadlines.

  1. Efficiency in Invoicing and Collection:
  • Issue invoices promptly and follow up on unpaid invoices effectively.

  • Maintain a low level of outstanding receivables.

  1. Compliance with Financial Regulations:
  • Ensure all financial activities comply with relevant regulations and company policies.
  1. Effective Expense Management:
  • Accurately process and reconcile company expenses.

  • Provide timely and accurate expense reports.

Characteristics:

  1. Detail-Oriented and Organised:
  • Strong attention to detail and organisational skills to manage multiple financial tasks effectively.
  1. Proficient in Accounting Software:
  • Expertise in using accounting software and financial tools.
  1. Excellent Analytical and Problem-Solving Skills:
  • Ability to analyse financial data and resolve discrepancies.
  1. Strong Communication Skills:
  • Ability to communicate effectively with team members and clients regarding financial matters.
