Estates Manager - Finzels Reach Bristol

Purpose of the Role

The main purpose of the role is supervising all aspects of the day-to-day running and maintenance of the property under your control, ensuring the immediate supervision of contractors and ensuring the required standards are achieved and maintained at all times including an emphasis on Savills RISE process and serving as a tenant liaison and key interface between the property and tenant.

Key Responsibilities

  • Ensure that Datastation is up to date and complete at all times.
  • Ensure all Weekly, Monthly and Quarterly checklists are complete and uploaded onto Datastation.
  • Ensure that high standards of property presentation are achieved and maintained at all times.
  • Ensure best value is being achieved by analysing, auditing and proposing improvements to the existing property management systems in operation.
  • Evaluate existing contractual relationships, and ensure that the occupiers are receiving best value.
  • Create and maintain an effective working relationship with existing suppliers.
  • Ensure and implement best practice whilst ensuring safe working practices are complied with at all times.
  • Ensure appropriate clear communication lines are established and maintained.
  • To assist the Property Surveyor preparing the annual service charge budget and subsequent annual reconciliation.
  • Ability to use and drive the use of and manage the occupier portal and any other web-based portals, compliance tools and general systems (client led)
  • Carry out any other reasonable request of the Property Surveyor.
  • Active occupier engagement to establish a friendly occupier community.
  • Chairing regular meetings with the occupiers and the preparation of minutes and agendas

Safety & Security

  • Ensure compliance with all client and Savills procedures and policies, including health and safety, COSHH and environmental matters.
  • Ensure compliance with all statutory requirements and codes of practice, health and safety requirements.

Promotions/Public Relations

  • Establishing and developing good relations and partnerships with various authorities and local agencies, notably:
  • Local authority, Police, Fire Brigade, Public Transport Providers and local businesses, to include neighbourly matters.
  • Ensure that all promotional activities are carried out with due care and attention to the health and safety and welfare of staff and customers.
  • Establish and develop close working relationships with tenant representatives and manage tenant satisfaction and confidence in Savills service delivery.

Quality Assurance

  • Adhere to all quality assurance requirements.
  • Ensure compliance at all times with operational standards.
  • Assist with additional client led compliance requirements.

Skills, Knowledge and Experience

Candidates will be required to demonstrate the following:

Essential

  • BMS – understanding the servicing and the way the building runs.
  • Self-motivated, forward-thinking, proactive; able to work on own initiative.
  • Excellent managerial and inter-personal skills, a proven track record in managing change, extensive experience in managing budgets, good strategic vision and a strong commitment to customer service are vital.
  • Prior experience of the management of multi let commercial property.
  • Experience in the supervision of contractors.
  • Good understanding of property management.
  • Effective people management skills – a good team builder.
  • Excellent communications skills.
  • A comprehensive knowledge and understanding of legislative health & safety requirements.
  • Good time management skills able to respond to client/contract deadlines.
  • Ability to use full range of applications, to include Microsoft Office (Word, Excel, PowerPoint, Outlook), as well as an ability to quickly learn the occupier portal and other various proptech initiatives.

Desirable

Experience of direct liaison with Police, Fire and Government Enforcement office

Working hours: 0900-1700 Monday to Friday

Salary: £38,000 to £42,000
