Administrator Receptionist

Position: Reception Administrator

Working Hours: 37.5 hours per week over 5 days (typically 08:30 to 17:00 with a lunch break, flexible)

Role Overview: We are seeking a highly organized and efficient Reception Administrator to join our dynamic team. The successful candidate will be responsible for managing the reception area and core office administration duties, ensuring a welcoming and professional environment for all visitors and staff.

Key Responsibilities:

  • Efficiently run the reception area, including answering incoming telephone calls promptly and directing them to the appropriate personnel.
  • Greet all visitors and maintain the reception area as a welcoming and tidy space.
  • Process invoices, manage calendars, file, archive, and handle goods-in and out paperwork.
  • Assist with organizing travel arrangements during high work volumes or team absences.
  • Raise purchase orders (POs) and order office supplies, ensuring all invoices are approved and sent to accounts for processing and recorded on budget sheets.
  • Consolidate invoicing and expenditure information for year-end budget reviews, monitor expenditure throughout the financial year, and identify cost-saving opportunities.
  • Administer training for employees, including raising quotes, sales orders, and issuing sales order acknowledgements. Generate and manage order/files in SharePoint, and close off and invoice sales orders.
  • Book training for all employees, including medicals, survivals, and any HSE-required training.
  • Assist with the organization and administration of local exhibitions and client hospitality events.
  • Support internal and external audits and daily Health and Safety requirements, including booking and updating training requirements.
  • Prepare training school course materials and documentation, ensuring the classroom is ready for each session and greeting delegates.
  • Contribute to the continual development of administrative support by suggesting process improvements to increase efficiency and customer satisfaction.
  • Record all goods out on the SharePoint log accurately for auditing purposes.
  • Support other business functions to cover absences.
