The role:

Possible start date: ASAP

Monday to Friday: 9am to 5pm

Total working hours: 40

What you will do in your working day:

Administrative Support:

  • Assist with day-to-day administrative tasks including filing, data entry and document management.
  • Manage and respond to general enquiries via phone, email and in person.
  • Maintain accurate records and databases, ensuring data is up-to-date and easily accessible.

Office Coordination:

  • Support the coordination and scheduling of meetings, appointments and events.
  • Prepare meeting agendas, take minutes and distribute relevant documents.

Communication:

  • Communicate effectively with staff, customers and other stakeholders.
  • Draft, format and proofread various documents and correspondence.

Compliance and Confidentiality:

  • Adhere to organisation's policies and procedures, including data protection and confidentiality.
  • Ensure compliance with health and safety regulations within the office environment.

Professional Development:

  • Participate in training and development activities as part of the apprenticeship programme.
  • Seek opportunities for continuous improvement and skill enhancement.

The training you will receive:

  • Level 3 Business Administration qualification.
  • All training is undertaken online, through a combination of self-paced eLearning and live online classes.
  • Functional skills in English and Mathematics, if required.

Interview Process:

  • Face-to-Face Interview and Assessments:

Shortlisted candidates will be called for a face-to-face interview. During this interview, candidates will be required to complete a couple of assessments designed to evaluate key attributes. These assessments will include tools such as Belbin's Team Role Profiler to gain insights into the candidates' teamwork preferences and strengths.

  • Paid Trial Week:

Candidates who demonstrate the desired attributes and skills during the interview and assessment stage will be offered a paid trial week. This trial period will involve working as a regular employee for five days, allowing both the candidate and the organisation to assess fit and performance in a real-world setting.

  • Review Meeting:

At the conclusion of the trial week, candidates will have a review meeting with a manager. During this meeting, the candidate's performance, integration into the team and overall suitability for the role will be discussed. The outcome of this meeting will determine whether the candidate will be offered a permanent position.

Qualifications required:

GCSE or equivalent English (Grade A* - C 9/4) - Essential

GCSE or equivalent Mathematics (Grade A* - C 9/4) - Essential

Personal Skills required:

  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Comfortable using office equipment and willing to learn new software and systems.
  • Reliable, punctual and able to work both independently and as part of a team.
  • Open to feedback and committed to continuous improvement.
  • Demonstrates alignment with the values and mission of their institution.
  • Possesses a positive attitude and a friendly demeanour, contributing to a welcoming office atmosphere.
