Modern Records Assistant / Archives

Salary: £23,500 to £23,893 per annum (£14,100 to £14,335, pro rata for part time)

Contract Type: Permanent

Working Pattern: Part-time (22.2 hours per week) 3 days per week (Wednesday to Friday) 09:00am to 5:00pm

Location: West Sussex Record Office, 3 Orchard Street, Chichester, PO19 1DD

Your role will be located within the Records Management Service, which oversees the legal and non-current administrative records for the entirety of West Sussex County Council.

The Opportunity

In this role, you will have the opportunity to be involved in all aspects of working within the Records Management Team which will require you to:

  • Deliver an effective storage and loan service of legal documents and closed files to WSCC colleagues/clients.
  • Diligently process requests electronically, retrieve documents that are prepared for collection, issue receipts upon their return, and update the database.
  • Identify legal documents for cataloguing, meticulously entering all essential information into the database, and then thoughtfully packaging and storing these important documents.
  • Be a first point of contact to answer enquiries regarding access to stored legal documents and requesting the daily printouts of legal document loans.

The work is bustling and diverse, yet it may sometimes lead you into cold and dusty storerooms, where you will need to navigate the challenges of moving trolleys, heavy records, and documents.

About You

We're looking for someone who is self-motivated and a proven track record of working in a customer focussed environment.

You will be able to demonstrate excellent communication and interpersonal skills, communicating on several different levels with multiple stakeholders and adapting your style accordingly.

With a minimum of two A-Levels, or relevant NVQ level 3 or equivalent qualification or experience demonstrating a good level of numeracy and literacy, you will be computer literate with excellent communication skills.

You will be a team player who can foster and nurture positive working relationships. Alongside strong communication skills, you can prioritise tasks to meet deadlines.

An interest in the county's history and archives would be an advantage. If you're organised, detail-oriented, and have a passion for historical knowledge of the county and local area, this is the perfect opportunity for you.
