Marketing Coordinator

This is a key role in the Marketing Operations team, responsible for supporting the delivery of Canada Life's event programme, a priority channel for the business both internally and externally.

The role reports to the Event Manager, but will also work closely with our creative studio lead, to manage the studio workflow, ensuring the correct processes are being followed and work allocation is aligned to strategic priorities.

Key Accountabilities

  • Support the delivery of Canada Life events programme (internally and externally) by working closely with the wider delivery teams, including Distribution, Marketing, Operations, internal comms and business line to ensure all event production is co-ordinated effectively and all presenters, delegates are represented appropriately (when required)
  • Ensure event collateral is delivered on time, and relevant vendors are managed effectively, such as venues, caterers, audio-visual teams, transportation services and will build and maintain strong relationships with trusted vendors.
  • Support budget management process for events, ensuring invoices are approved according to agreed process, and expenses allocated to activity as per the plan and spend tool. Ariba system updated for new suppliers, and new suppliers process followed and procurement lead for event suppliers (as and when required).
  • Attending events across the UK to assist with setting up, running and breakdown event stands. Overseeing event kit store in PB, including inventory, sending and receiving event couriers. Researching and sourcing new venues and event suppliers (eg merchandise, exhibition engagement attractions, bespoke gifting as required)
  • Support the studio workflow management, by coordinating the allocation of work across the team, following receipt of work request and briefs. Manage teams capacity aligned to workloads, and provide ongoing support with planning, key dates for reporting
  • Support Plan and Spend budget process through management of Ops budget central email
  • For agreed cost centres, ensure all invoices are paid on time, with appropriate approvals and
  • where required and new supplier forms are completed. Raise all POs for print management
  • through new P&S module in Aprimo
  • Act as budget champion and support with admin for Creative Studio, upskilling and training wider team on best practice and supporting accrual management process when required

Desired Knowledge / Experience / Skills

  • A knowledge of marketing principles in crafting messages and activity would be useful, but not essential
  • Knowledge of the event channel advantageous but not critical
  • A background in events management or support roles preferable with some financial services knowledge, and ideally including intermediary as well as consumer markets.
  • Excellent written and verbal communication skills are essential. You should be able to write clearly and effectively, tailor communications to different audiences, negotiate contracts and handle inquiries.
  • Strong interpersonal skills are important for building relationships, and able to collaborate with other and work well as a team
  • Excellent organisational skills, and be able to juggle multiple projects and deadlines. You will be able to manage priorities, keep track of tasks and meet challenging deadlines
  • A strategic mindset, able to align deliverables to business objectives and goals
  • Attention to detail is key to ensure all aspects of an event are planned and executed correctly
  • Creative thinker, able to come up with innovative ideas for events delivery and content
  • Strong problem-solving skills to quickly address issues that may arise during planning and execution of an event
  • Able to negotiate contracts with vendors, venues or other services, understanding budget limitations.
  • Some experience working with creatives, agencies and other providers of marketing services would be useful
  • Experience of managing budgets, and understanding basic principles of budget management
  • Hands-on experience of using budget tools and workflow management tools in similar environment
