Patient Services Manager

Your new role

Responsibilities:

  • Ensure efficient reception services for patients and visitors.
  • Collaborate with the Administration Leadership Team and APMS Leadership Team.
  • Support and develop the administration team through effective line management.
  • Adapting to changing service needs and managing team queries.
  • Act independently within procedural guidelines and without direct supervision.
  • Promote flexibility and adaptability within the team.

Key Duties:

  • Manage and develop the administration/reception team, ensuring appropriate training and personal development.
  • Conduct quarterly supervision, annual appraisals, and other management meetings.
  • Oversee the induction process for new team members.
  • Demonstrate leadership and uphold organisational values.
  • Ensure staff understand and follow all policies.
  • Monitor and allocate team workload, addressing concerns as needed.
  • Manage team rotas to ensure adequate cover.
  • Ensure timely and effective telephone answering and message management.
  • Support clinical teams with necessary resources.
  • Manage clinical staff rotas and annual leave requests on SystmOne.
  • Liaise with IT support for hardware and software issues.
  • Maintain rotas for Secure Units and oversee room bookings.
  • Update notice boards, Jayex boards, and TV messaging screens.
  • Ensure correct use of the appointment system and self-check-in.
  • Continually assess and improve systems, sharing findings with leadership teams.
  • Induct visiting external staff and complete necessary paperwork.
  • Update policies and procedures as needed.
  • Champion accurate patient information and monitor patient surveys.
  • Handle complex patient enquiries and complaints promptly.
  • Maintain effective patient feedback systems.
  • Lead the Patient Participation Group.
  • Have a good understanding of SystmOne.

What you'll need to succeed

  • Experience in administration and team management, preferably in a healthcare setting.
  • Strong leadership and communication skills to effectively manage and support the administration team.
  • Proficiency with SystmOne and other relevant IT systems.
  • The ability to work independently and make decisions within procedural guidelines.
  • Flexibility and adaptability to respond to changing service needs.
  • Excellent organisational skills for managing rotas, appointments, and patient information systems.
  • Problem-solving abilities to handle complex patient enquiries and complaints.
