About the role and what we're looking for

This role involves undertaking the technical administrative duties for the support of the building control service, ensuring that it is carried out in accordance with current regulations and service standards. The role will include answering the phone, technical checks of plans, booking site inspections and taking payments for a range of applications.

Main duties and responsibilities

  • to validate and register applications submitted under the building regulations, competent person schemes and registered building control approvers, including scanning and indexing submissions, and maintaining registers.
  • to input data into the computer system including on-line capability and document management.
  • to evaluate and calculate charges for building regulation applications, measuring plans, being able to explain any technical corrections required on the plans for them to be validated.
  • to produce and send documents, letters and e-mails involved in the building control procedures including consultation with various statutory bodies.
  • to raise purchase orders, take credit/debit card payments and to generate invoices for the collection of building regulation charges.
  • to arrange building control surveyor appointments for customer meetings and site inspections
  • to provide minor technical advice to applicants, agents, members and all stakeholders on matters related to building control, including need for approval, exempt buildings, sewer positions etc
  • to respond to formal enquiries relating to land searches, building records and associated matters
  • to produce electronically processed documents, letters and spreadsheets as required by officers within the building control service
  • to maintain manual and electronic filing systems, control stock of stationery and office equipment and sort post for the building control service.
  • to prepare building control documents and files for digital scanning and archiving
  • to promote and encourage use of the Local Authority Building Control Service, including associated products and business partners.
  • to exercise and promote a high level of customer satisfaction.
  • Identify tasks and issues for review and raise with team leader.
  • attend internal and external meetings as appropriate.

The duties may vary from time to time without changing the nature of the post or the level of responsibility and the post holder may also be required to carry out any other duties appropriate to the grading of the post.

About you

Your essential skills, knowledge and experience

  • good general admin/office experience (at least two years)
  • experience of working to service standards and targets
  • financial experience of dealing with purchase/sales orders, accounts,
  • previous experience of telephone work and dealing with the public at all levels.
  • good general knowledge of office procedures.
  • good written and verbal communication skills.
  • strong literacy, numeracy and accuracy skills.
  • ability to organise, prioritise and generally manage own workload in line with service demands.
  • good IT skills including Microsoft office and keyboard skills
  • excellent customer service skills.

If you have the following experience or qualifications – it's a bonus

  • experience of working with specialist computer systems such as Ocella.
  • experience of working in Local Authority Building Control.
  • the ability to read and interpret plans/drawings.
  • knowledge of building terminology.
  • knowledge or interest in development of building control service as a business and knowledge of building terminology.
  • 5 GCSE's at grade C (or equivalent) or above (incl. English and Maths).
  • RSA 3 computer literacy in word processing (incl. Microsoft Word, Excel and PowerPoint).
