Location: Birmingham City Centre B3 (required to travel across West & East Midlands at times)
Salary: £30,000-£34,000

Property Management & HMO Licensing Experience with an Estate Agency or similar

Overall Purpose
The purpose of this role is to ensure compliance with the HMO and Licensing requirements.
The Licensing Team Manager is responsible for managing a successful and efficient Licensing Team and delivering an exceptional service to Landlords and tenants alike. The Team Manager will develop good working relationships and dialogue with local Councils and maintain an exceptional level of HMO and licensing knowledge specifically, Mandatory, Additional, Selective and Section 257 licences.

The team will be built up of:

1 x Team Manager
2 x Property Manager
5 x Inspection Clerks

Key Accountabilities and Responsibilities

  • Holds a structured and motivational team morning meeting to ensure that everyone understands their responsibilities and objectives for the day and week ahead.
  • Motivates and develops their team members, leading by example.
  • Competently run weekly reports to monitor all aspects of Licensing Property Management.
  • Work closely with the Property Management Director, Lettings Director and Operations Manager to ensure that the company objectives are met.
  • Leads a team that successfully manages maintenance of properties and maintenance identified from safety certificates, for example FRA's.
  • Confidently able to apply for property licences on behalf of Landlords
  • Support the Licensing Team in monitoring and managing HMO properties and licence requirements
  • Manage a team that successfully liaises daily with Tenants, contractors and Landlords to ensure maintenance is completed to an excellent standard and in a timely manner
  • Manage a team that successfully is able to prepare property inventories, inspections and check outs via Inventory Hive
  • Continually monitor the progress of each member of your team and motivate them to continually improve their performance
  • Develops a good working relationship with Team colleagues, Property Management Team members, Accounts Team members, Compliance Team members and the Lettings Team members
  • Ensure that all databases are accurately maintained and regularly updated
  • Conduct team members regular employment reviews and follow up with completed review paperwork
  • Refer to your Manager prior to any actions taking place relating to but not exclusive to, recruitment, exceptional holiday requests, dismissals, disciplinary procedures, staff remuneration, marketing initiatives that are not part of company campaigns
  • Is able to navigate various external platforms including Fixflo, Kamma, Inventory Hive and Goodlord
  • Develop excellent relationships with landlords to ensure repeat business
  • Able to manage workload in an organised manner with excellent attention to detail
  • Ensures a high level of communication with colleagues
  • Excellent customer feedback and reviews but also trained and able to handle complaints relating to HMO/licencing requirements quickly avoiding formal escalation
  • Successfully manages and resolves complaints which have been escalated from within the team
