Job description:

Diary Management: Handle diary management and respond to internal diary-related queries.

Expense Management: Collate and record monthly expenses.

Client and Professional Liaison: Arrange calls, video conferences, in-person meetings, and restaurant reservations.

Meeting Room Booking: Book meeting rooms both internally and externally.

Prospect Liaison:

  • Schedule initial calls.
  • Send forms to clients.
  • Dispatch LEGL onboarding emails and engagement letters.

Mediation Process Management:

  • Schedule intake and joint sessions.
  • Send mediation process emails.
  • Dispatch onboarding documents, LEGL links for AML checks, and payment on account.
  • Send session summary emails and invoices.
  • Renew FMC membership.
  • Schedule meetings with the mediation coach.
  • Manage the mediation voucher scheme.

Coaching and Training: Schedule coaching and training sessions and provide necessary documentation.

Correspondence: Draft covering emails and send letters and emails on behalf of Peter/partners.

Electronic Signing: Electronically sign COFA forms, contracts, and documentation on behalf of Peter/partners.

Resolution Committee Support:

  • Assist with preparation and scheduling for Resolution drafting committee meetings.
  • Organize national and regional Resolution committees, including setting up SharePoint folders and BaseCamp for meetings, liaising with attendees, fielding questions, and tracking attendance.

Project Management:

  • Schedule meetings and provide relevant documentation.
  • Schedule follow-up meetings and check project progress.
  • Remind Peter/partners of stalled projects.
  • Liaise with third parties as needed.

Membership and Event Management:

  • Maintain membership to the International Association of Foreign Lawyers and organize attendance at relevant events.
  • Assist with travel arrangements, including booking taxis, trains, flights, hotels, and activities.
  • Field calls when partners are unavailable, take messages, and assist where possible.
  • Monitor partners' inboxes during their annual leave and forward relevant emails to appropriate staff.
  • Organize client-hosted events, including booking venues, catering, sending invites, and collating attendance lists.
  • Liaise with third parties, including PR and marketing agencies.
  • Assist with the creation of marketing material.
  • Attend events to assist with organization.

Administrative Tasks:

  • Note-taking.
  • E-filing.
  • Time recording.
  • Any other reasonable responsibilities expected in a personal assistant role.
