Clinic Administration Manager

Our client, a specialist medical diagnostic imaging centre based in Central London, have an exciting new opening for an Administration Manager. The centre provides medical imaging services to the Private HealthCare sector and the NHS.

As the Administration Manager, you will provide a comprehensive, administrative, secretarial and reception service for the Company alongside overseeing and managing the Administration Team.

This is a full-time permanent position, Monday - Friday with shift patterns worked between 8am - 8pm.

Administration Manager duties to include:

  • To receive clients into the unit, including patients, visitors and other members of staff.
  • To effectively promote the quality image of the organisation through efficient administrative practices and excellent customer service.
  • To undertake all clerical duties associated with the organisation.
  • To supervise and train administration staff.
  • Type scan results for referring consultants, ensuring that they are signed, and completed scans and reports must be dispatched accurately and as quickly as possible to the referring consultant.
  • To assist Radiographic staff when required with patients, i.e. making beverages, explanation of procedures and consenting patients.
  • Make appointments with patients and referring consultants, by post, fax and telephone.
  • Provide secretarial assistance as required to the Manager and Consultants.
  • Ensure accurate control and management of the booking system to maximise potential patient throughput.
  • Perform computer housekeeping on the Imaging Centre's Management system
  • and maintain an up-to-date patient and referrer data base on this system.
  • File all patient documentation and rotate files for long term storage.
  • Operate first line ordering and receipt of supplies and stock control.
  • Undertake training and supervision of additional clerical staff and Radiographers in clerical duties.
  • To maintain a duty of confidentiality at all times and to comply with the Data Protection Act as it applies to the Company.
  • To continually review and monitor work practices and implement new procedures where appropriate.
  • To report maintenance problems/ faults to most senior radiographer on duty, keeping a record of fault report and to monitor response to the problem.
  • To improve/consolidate the quality of the service provided to patients and referring clinicians and to implement any process improvements.

Skills required:

  • Highly motivated, enthusiastic, imaginative and resourceful.
  • You must be flexible and have good communication skills.
  • Must be adaptable and able to work as part of a team.
  • Professional, competent attitude, who copes well with stress. Must be able to work under own initiative.
  • Well-presented and friendly.
  • Administration experience in the health sector.
  • Experience of reception duties.
  • A high standard of English.
  • Computer literacy, telephone skills.
  • Customer relations, networking ability.
  • Numerically competent.
  • Flexible, dynamic individual able to work with a minimum of supervision.
