Location: Aldwych, London (Hybrid - 2 days in the office Wednesday and Thursday )

About the Role:
An exceptional opportunity has arisen for a highly organised, proactive, and experienced Executive Search Project Coordinator / Executive Assistant to join a leading executive search firm based in Aldwych. You will provide high-level executive and project support to a senior Partner within the firm, managing end-to-end coordination of executive search recruitment.
Key Responsibilities:

Recruitment Project Support

Coordinate the full lifecycle of search assignments including scheduling, candidate management, and project tracking.

Provide seamless EA support to a Partner: manage diary, travel, meetings, and correspondence.

Act as the key liaison between clients, candidates, and internal teams.

Document Production & Communication

Draft, format, and proofread documents such as proposals, client updates, candidate reports, and presentations.

Take accurate meeting minutes and ensure follow-ups and actions are clearly documented and completed.

Ensure all communication reflects the firm's professional tone and high standards.

CRM & Process Management

Maintain and update records and project timelines in CRM systems (e.g. Invenias or similar).

Track candidate progress, interview feedback, and project milestones to ensure smooth execution.

Support with preparation for pitches and client meetings.
Requirements:
- Experience working as an Executive Assistant or Project Coordinator within executive search, management consultancy, or a professional services environment is essential.
- Exceptional written and verbal communication skills, with a strong eye for detail.
- Highly proficient in Microsoft Office (Word, Excel, PowerPoint) and familiarity with CRM systems.
- Calm under pressure, adaptable to change, and able to manage shifting priorities.
- Strong stakeholder management skills with the confidence to liaise at C-suite level.
- A proactive, self-motivated team player who thrives in a fast-paced environment.
- Comfortable managing upwards and acting with initiative and independence.
