Aspire Jobs are working exclusively with our Professional Services client to help them recruit an experienced Administration Assistant/Receptionist to join their growing team in Ringwood.

This is a very important role as it will see you being the front face of the business, greeting all visitors and clients to their offices. The reception desk is a sole desk in reception, so you must be someone who is happy to work on your own a lot (other than visitors and colleagues popping in and out). However, you will also help provide general admin experience to the business as and where needed but based on a reception desk. Although the business has a telephonist, you will also be expected to answer any overflow calls, these tend to be busier on Mondays and Fridays.

The successful Administrator/Receptionist will have a "can-do" attitude and be flexible to undertake a wide variety of tasks - nothing will phase you. It would particularly suit someone who has working in a front facing customer service/reception/front of house role, especially those in hospitality. However, you must have some previous office experience.

The successful Administration Assistant/Front of House will:-

  • Have previous admin experience
  • Be of a professional appearance for a front of house role within a professional services business
  • You will be a "can-do" person where nothing phases you
  • Have a positive & flexible attitude
  • Be willing to muck in with any task required
  • Have good IT skills - Word and Excel
  • Have an excellent communication manner
  • Have good attention to detail
  • Ideally, have some experience within a professional services or compliance company (although this is not essential)
  • Be confident and committed
  • Be reliable and flexible

Your duties will include,

  • Greeting clients when they come into the office with a professional and friendly manner
  • Dealing with incoming calls and taking messages
  • Supporting the Ringwood office with all admin tasks required
  • Post and DX duties
  • Maintaining a high level of client service at all times
  • Self-motivated and able to work with minimal supervision
  • Photocopying, filing and e-filing
  • Assisting with archiving
  • Accepting client payments and photocopying ID, all in accordance with the firm's anti-money laundering procedures.
  • Open and close client files
  • Booking and setting up meeting rooms via a central meeting room diary for various offices
  • All other general office duties
  • Manage the car park registration system

This Admin Assistant role would suit people who have been receptionists, hotel receptionist, spa receptionist, customer services, administration assistant, office administrator or similar.
