Part Time Administrator / Secretary

We are seeking a part time Office Secretary/Administrator for a professional, yet delightful Financial Services organisation based close to central Canary Wharf.

You'll be required to provide administrative support to a team of dedicated professionals that provide top-notch financial services products to a wide range of clients. Responsibilities

  • Handle daily administrative tasks, such as sorting and distributing incoming mail, recording and scanning cheques, arranging couriers, and maintaining office supplies
  • Arranging internal/external meetings and flights/travel/accommodation for London and European colleagues and stakeholders/Directors
  • Be the first point of contact for clients, answering calls, taking messages, and greeting visitors with a friendly and professional manner
  • Formatting documentation and reporting with set templates
  • Proactively ensure the office is organised, and stocked with necessary supplies, taking pride in creating a pleasant and efficient work environment
  • Support staff and partners with various administrative tasks, including file management, client billing, and client-related documentation
  • Assist in on-boarding clients, liaise with external IT support for technical issues, and provide administrative support for important reviews

Essential (Knowledge, skills, qualifications, experience)

  • Previous experience as an administrator/secretary in the professional/financial services arena
  • Adept at managing a busy workload and multitasking efficiently
  • Proven MS Office and organisational experience
  • Excellent telephone manner and strong communication skills, both written and verbal
  • Proactive and diligent, with a keen eye for detail and the ability to use own initiative
  • Confident, friendly, and upbeat professional personality, contributing to a positive and well-run work environment

Successful applicants must specifically be seeking a part time role set at 4 hours per day:

14:00 to 18:00 or 13:30 to 17:30 and be able to work 5 afternoons per week in the office.

This is a 2-month temporary contract that may involve a full day in the office on occasion with notice. Paid Overtime is offered. As this role paid on an hourly basis, you will be paid for all hours worked.
