Part-Time Executive Assistant / PA to Electoral Services

- Job Type: Part time 3-4 days a week Temporary for 3 to 6 months
We are seeking an Executive Assistant to help exclusively with the admin side of the Labour Group at the Council. This role requires a highly organised individual with a proven track record of supporting executive-level management, ideally within local government. This is a part-time Hybrid role working 3-4 days a week. You will have the capability to manage and support new team members.
This is not a political role, it is purely to provide support with administration and coordination,
Day-to-day of the role:
- Provide high-level administrative support to the admin team that supports the 3 electoral wards including 19 Labour councillors including managing schedules, correspondence, and travel arrangements.
- Assisting with expenses claims
- Undertaking basic research tasks – e.g. obtaining past papers / reports / previous responses to questions.
- Agenda preparation for group meetings (two upcoming dates in July). An agenda template will be circulated in due course. (Just a note that any requests from group members for agenda items will need to be cleared by the Leader)
- Prepare and edit communications, presentations, and other documents.
- File and retrieve documents and reference materials.
- Conduct research, assemble data, and prepare papers for consideration and presentation.
- Arrange and coordinate meetings and events.
- Record, transcribe, and distribute minutes of meetings.
- Monitor, respond to, and distribute incoming communications.
- Liaise with internal staff at all levels.
- Interact with external clients and stakeholders.
- Review operating practices and implement improvements where necessary.
- Supervise and train new team members, providing guidance and support.
Required Skills & Qualifications:
- Extensive experience in an Executive Assistant / Senior PA role supporting senior-level executives.
- Desirable background in local government.
- Experience in managing and supporting a team.
- Excellent organisational and time management skills.
- Strong communication and interpersonal abilities.
- Proficiency in MS Office and administrative software.
- Ability to work independently and handle confidential information with discretion.
- Flexible and adaptable to changing workloads.
