The Savills Glasgow office covers Commercial, Building Surveying, Planning, Development, Research, Management, New Homes and Residential Sales with approximately 135 staff.

Our Glasgow office has an exciting opportunity to join our successful team in a role working within both our Business Space and Operations divisions. In Business Space, you will work collegiately and provide a high level of support to a team of three directors, an associate, a surveyor and a graduate. In Operations, you will support the Office Manager in the general day-to-day running of the office, as well as providing reception cover as and when required. As our team of surveyors spend a lot of time visiting clients and sites, and the Operations team is fully office based, we require the successful candidate to be based in our busy and vibrant Glasgow office alongside them.

The role will be varied with a focus on driving forward innovative change, where required, on how the Business Space team and our clients assets are actively marketed. The role will also encompass general administrative tasks such as raising invoices, submitting expense claims, taking enquires from callers, managing compliance requirements, as well meeting room management and providing reception cover on Fridays, lunch times and holidays/absences.

Key Responsibilities

The main function of the role will be to provide support to the Business Space team and will include:

  • Liaising with existing and prospective clients via phone and email
  • Creating / managing social media marketing campaigns and maintaining website property listings
  • Monitoring and maintaining Compliance in conjunction with Savills Internal Compliance team
  • Submitting expenses, requesting purchase orders and drafting / submitting invoices
  • Diary management, including booking travel / accommodation, and other ad hoc duties
  • Creating new job files by logging onto Dynamics and setting up electronic files
  • Manage disbursements, fee reports and work in progress (WIP) documents

Key Skills

  • Intermediate/Advanced Microsoft Office knowledge incl. PowerPoint
  • Knowledge of social media marketing i.e. LinkedIn/Instagram
  • Excellent communicator with the ability to work under pressure
  • Excellent time management, organisational skills and attention to detail
  • Good team player but also able to work on their own and use their own initiative
  • Previous experience in an administrative role is essential, property experience would be desirable

The Business Space team work across both industrial and office agency, covering Glasgow and the surrounding areas. They are based in our Glasgow office which comprises of circa 135 employees covering all aspects of property including property management, residential sales, building consultancy, development, retail, valuation and investment.
