Monday – Thursday 8am – 4.30pm, 4pm Friday

Job description

To coordinate all projects ensuring that we deliver on time, to budget and in line with the agreed programme. Liaise with suppliers, customers and other internal departments to achieve full customer satisfaction.

Principle Accountabilities

  • To attend job handover meetings with Sales Director and relevant Contracts Manager, making notes and ensuring actions are completed.
  • To place all purchase orders if not already done by Sales before handover, ensuring
  • the information is recorded on the relevant cost sheet.
  • To review cost sheets with Contract Managers on a regular basis.
  • To order and control plant hire, ensuring that the plant register is kept up to date.
  • To ensure the contract folders are kept up to date, at all times and archive completed projects.
  • To set up a Health and Safety file for every project and collect RAMS from contractors.
  • To send out a works commencement notice to the client with all necessary
  • details/relevant documentation attached (drawings, programme etc).
  • To submit Building Regulations' applications, if required.
  • To generate and issue site meeting minutes.
  • To co-ordinate the diaries for the Contract Managers, ensuring they are kept up to date at all times.
  • To ensure site reports are completed on a daily basis by the Contract Managers.
  • To generate O&M manuals.
  • To ensure that the Contracts Manager has all relevant documentation to complete job closures.
  • To monitor and ensure the training schedule is kept up to date for staff and contractors.
  • To assist with the monitoring and implementation of the ISO 9001 quality
  • management procedure`.

Contract Set Up:-

  • Prepare all the job packs
  • Drawings, update drawing register and issue of latest updates.
  • Request RAMS and necessary certificates from contractors.
  • Health and safety.
  • Submit building regulation's applications.
  • To assist with the programme of works and issue. Keep updated on a weekly basis.

Key Skills & Competencies

  • Ability to use Microsoft Office, including TEAMS, Evolution M and project software.
  • Experience of working with databases.
  • Good understanding of job costings.
  • Team player with good communication skills (written & verbal).
  • Well organised.
  • Negotiation skills.
  • A professional approach.
